USING THE PICTURE MOTION SCREENING ROOM
The Picture Motion Screening Room is free for you and your audience to use when you book a screening event through Picture Motion. It does not require you or your audience to download an app or sign up for an account. Once you complete the screening application form, you will receive a unique screening room link which will be password-protected. Ahead of your event, you’ll need to distribute the link and password to your attendees.
Throughout the screening process, you can contact the team lead who organized your screening. We’re here to relay support materials and brainstorm with you regarding how to have an effective virtual event.
SETTING UP YOUR SCREENING
Please consider the following questions when setting up your screening.
Do you want everyone to watch the film at the same time?
This option simulates a live, in-person screening event. Your screening room will open for a 3 hour period, with a start and end time designated by you.
Do you want to give your attendees a viewing window, so that they have more flexibility around when they can watch?
This option allows you to provide your attendees with a 1-5 day window to watch the film, at their own leisure. You will need to provide us with the start day and end day for your viewing window.
Would you like to have the chat function enabled during the screening?
The chat function offers a way for your attendees to communicate with each other throughout the screening. In order to use the chat, attendees must verify their identity by logging in with a Gmail account only.
If an attendee finds the chat distracting, they can avoid seeing the chat by entering into full screen mode.
● How many guests are you expecting?
The Picture Motion screening room can accommodate up to 10,000 guests. However, we recommend that the chat function is used for audiences between 50 and 200.
REQUIREMENTS AND RESPONSIBILITIES
Requirements
For chat functionality, all guests must sign in using a google (gmail) account due to security restraints.
In general, we cannot create a personalized introductory video or adjust the film file in the screening room link.
Must have access to a working laptop and reliable internet connection to use the Picture Motion screening room.
Responsibilities
Managing invitations and RSVPs. Once you confirm your event, we will send you a screening toolkit with promotional language, and visuals to send to your guests.
Distributing streaming link and other materials to attendees. Picture Motion will send your streaming link and password at least 2 days prior to your event for you to distribute to your guests (unless specified otherwise).
Choosing an online conversation platform. You will need to use a separate platform for the post-screening conversation. However, your screening room will feature a customized button that links out to the conversation platform to make the experience as seamless as possible. You are welcome to use the online conversation platform of your choice, but we typically recommend Zoom.
Coordinating your event. You, as the host, will be responsible for organizing and implementing the logistics of your screening event. Check out this Zoom Best Practices Guide for tips!
Doing a tech check. We ask that you do a tech check 72 hours before your screening event, as well as 30 minutes prior to your event, so that we can help troubleshoot any issues that may arise.
Hosting your post-screening program (optional). We highly recommend that you organize a post-screening conversation to discuss the film themes and strategize about how to take action! Guidance can be found in your screening host toolkit.
Completing and distributing surveys. Once your event is complete, you are responsible for ensuring attendees receive the audience surveys (they can be distributed via a QR code or link during the event or in a follow up email), as well as completing your host survey. This allows us to improve the process for future hosts and relay important feedback.
