The Summer Institute will utilize the Zoom platform. If you do not already have an account through your business or school, you can sign up for a free account here: https://zoom.us/freesignup. If possible, please sign up for an account a couple of days before the Institute and test out the features. Here is a YouTube video that walks you through getting set up on Zoom.
Note that you may use a laptop, tablet, desktop or phone with Zoom. Be sure to follow step 4 to test your audio and visual prior to the Institute. Ultimately your connection will also depend on your internet speed and capacity. Ethernet may work best vs. wifi if you have that option as it has more bandwidth. With wifi you may have to move closer to your router if your connection isn't strong.
Once you have a Zoom account, you can get the Zoom app for optimal performance. Using the app ensures that you have access to all the Zoom features including breakout rooms. Using Zoom in a web browser also works, just not quite as well as the app. Here is a YouTube video on setting up the app.
Once you have a Zoom account, please remember to customize your profile: Here is the Zoom instruction page
Please update your Zoom user name to your first and lastname & program. This will help us network and get to know each other.
If you feel comfortable doing so, please add a picture so Institute participants can get to know you even when your webcam is off.
Prior to the Institute you should check your audio and video. Here is a youtube video with instructions on how to check your audio and video.
Although it isn't necessary to use a webcam during the institute, it is helpful to build relationships and increase engagement. It is easy to toggle your webcam off and on so you don't have to be visible all the time. When on video, it helps if you have your computer, tablet, or phone at face height. Try to adjust the lighting so that you have a light source in front of you. You may wish to do a quick camera check prior to logging into Zoom to see what others will see.
Do a sound check. A headset with a microphone is helpful but not necessary (it does help reduce background noise/echos). If you are using a phone for audio, there are dial in instructions in the calendar invitation, as well as when you join the meeting.
Once you are in Zoom here are a few tips on getting the most out of Zoom.
1) If you are not the person currently speaking, please mute your microphone.
2) You have the ability to turn your video camera on and off during the institute. If you are standing up to stretch for example it is fine to turn your video off. If you are having technical issues with screen lagging you may wish to turn your video off to see if that helps as it takes a bit more bandwidth with the video on. Zoom also allows you to select a photo as a virtual background, although this does take more bandwidth and can cause strange visual effects so if you choose to do this you may want to test it out first.
3) If you want to share during presentations, or communicate privately with Summer Institute Staff or another participant, you can use the "chat" feature. Instructions here.
4) If you are experiencing a lot of tech issues (lagging audio, lagging video, etc.), You should try turning off your video camera to see if that helps. Typically wifi is a slower connection than ethernet cable. If wifi is the only option than you may wish to try moving closer to your router. You may need to log out and in again to Zoom. Note that we are recording presentations, so if you miss something you will be able to review it after the institute.
5) Zoom has options for viewing. For example, “gallery view” on Zoom allows more participants to be visible on your screen. This enables you to better engage in group discussions. Instructions here. "Active speaker" view allows you to focus on the presenter and their presentation. Instructions here
6) We will be monitoring the SIYM email during the event. If you have technical issues (or we do) please communicate to siym@pdx.edu
