Travel Policy
Travel Overview
Please note that SALP needs at least 20 business days (1 month) to make arrangements for student organization's travel. If you are using OBC funds, you will need to add 2 weeks to that timeline. Depending on the complexity of travel, we ask that you submit your travel proposal two months in advance. If you are requesting travel funds from the OBC, your group must complete and upload a completed SALP travel template (make a copy) with your budget request.
OBC funds cannot be used for food or per diem during travel. For more information related to OBC and travel, please review the OBC Funding Guidelines .
After budget approval, a Travel proposal needs to be submitted at least 20 business days prior to departure.
For more information on SALP travel policies, please see the SALP Policy Manual Travel section. In addition, it's very important and a minimum requirement to talk with your advisor or coordinator before beginning any of the travel processes.
Minimum Requirements:
All travel must be clearly connected to the student organization or program's mission. The SALP Advisor may not approve travel if a clear case cannot be made. Appropriate reasons for travel may include: retreats, conferences, trainings, competitions, service-learning opportunities, or field trips. Travel must have an educational component.
All travel must be pre-approved by a SALP Advisor or Coordinator. No costs associated with travel will be approved until representatives from the student organization or program meet with the Advisor or Coordinator to review the purpose, plans, budget, and post-trip report-back.
There may not be more non-students traveling on a trip than students.
In order to assure that people who are traveling are students and have the academic capacity to engage in extracurricular travel, students must be registered for 6 or more credits (undergraduate) or 5 or more credits (graduate) and have a minimum 2.5 PSU cumulative GPA (undergraduate) or 3.0 PSU cumulative GPA (graduate) to travel. This eligibility requirement applies at the time of the travel request and during the quarter the travel occurs. Exceptions to GPA requirements may only be made in special cases by the SALP Advisor or Coordinator on a case-by-case basis.
To help ensure both equity of opportunity and student safety when traveling, all students who plan to travel with your group must have an active PSU Connect account.
All participants must complete a liability waiver on PSU Connect.
For student organizations, SALP Advisors will not defer your Travel Budget Request to the OBC for review until all listed travelers have completed the Liability Waiver.
Prior to travel, student leaders who are traveling must review the travel packet with their SALP Advisor/Coordinator.

Driving/Authorized Drivers
Travel That Involves Student Drivers
Whether you are renting a vehicle or driving your own, you'll need to become an authorized driver.
You must fill out a request to become an Authorized Driver (The form is also found in the SALP Admin Club Forms section)
Once your have filled out the form, you will need to watch this video and complete the quizzes sent to you through alertdriving.com.
You must have a clean driving record for the past three years and complete the trainings successfully.
Authorized Driver requests cost the department around $50 each so please do not submit more names than required for your trip. SALP will cover the cost for the first 3 Authorized Driver submissions for each group but after that, your group will need to pay $50 for each additional drive authorization request.
You must have one more authorized drivers than the number of vehicles (unless it is for a trip within the tri-county area).
If you're driving your own vehicle and want to use your student group funds for mileage reimbursement the rate is $.67/mile (effective Jan. 1, 2024). If you are using OBC funds, you must add this line item to your budget request.

Please note that you have to schedule the pick-up of your vehicle during business hours.
If you're looking to return your vehicle after-hours, please make sure you're choosing a location that allows that option.
