Bus Request

FIELD TRIP PROCEDURES

Please comply with the following guidelines when scheduling buses for field trips.

*Bus requests must be received at Transportation two weeks prior to date of trip.

1.  Complete Field Trip Request. www.fieldtriprequest.com - click on the green Field Trip Request Link above. 

2.  Complete all information on the requisition including the budget code.  If all of the information is not received on the request, it may cause a delay in scheduling the trip. These procedures must be followed to insure that each trip is scheduled correctly.

3.  Once the field trip request is submitted, it will follow the following chain of approval:  1. Field Trip Requester  2. Campus Bookkeeper/Secretary  3. Principal  4. Associate Superintendent  5. Transportation. 

Please allow time for the trip to follow the trip approval chain so that it is in the Transportation Department 2 weeks prior to the trip. Requests submitted within 2 weeks of the trip will be rejected by the software and will need to be overridden by the Transportation Department with approval from the Principal and Associate Superintendent.  

4.  The requesting campus or location will be responsible for providing chaperones. Faculty members on the bus will serve as chaperones and be responsible for discipline on the bus. One chaperone must be seated at the rear of the bus so that all activity can be readily observed and monitored.

5.  School district policy states, “No children shall be allowed on the field trips that are not students of the sponsoring school or PISD students specifically involved in the event or activity.”

6.  No food or drinks will be consumed on the bus unless prior approval has been obtained from the administrator in charge and the Director of Transportation.

7.  Aisles and emergency exit door must remain clear. Large items such as props, band equipment, ice chest, etc., must be placed in the seats.

8.  Schools will be charged a flat rate of $25.00 per hour per bus, with a minimum of 2- hours. Buses driven on field trips by certified coaches will be charged at the rate of $1.00 per mile. Buses ordered by campus or locations that are cancelled upon arrival will be charged a 2-hour minimum non-cancellation fee of $50.00. Weekends will be charged a 2-hour minimum non-cancellation fee $50.00. Vans charged-miles x $0.585. Vans have EZ-tags.

9.  Canceling a bus: You must cancel at least 2-business days prior to the trip date. Failure to cancel within 2 days will result in a 2 hour charge of $50.00.

10. If you are using a campus bus for a field trip, you must complete the online field trip form. Please indicate in the notes section which bus you are using and who is driving.
