Q: How are newly evaluated students enrolled?
A: If the student is already enrolled in a regular early childhood program:
If the student is not enrolled in a regular early childhood program: The student should be enrolled with an N: SPED Only for evaluation purposes.
If the student is eligible for services and placed into an early childhood program (as outlined above), end the student’s N: SPED Only enrollment and create a new P: Primary enrollment as of the first day services are to be provided based on the IEP. The district must track the attendance and absences of students in this program.
If the student is eligible for services and placed in a program other than a regular early childhood program, continue the student’s N: SPED Only enrollment. Attendance and absence information is not required for these students.
If the student is not eligible, end the N: SPED Only enrollment as of the date the determination was made that the student was not eligible.
Q: How should Pre-K students be enrolled?
A: PK students in Infinite Campus may be enrolled with either a P: Primary or N: SPED Only Service Type.
N: SPED Only: All PK students enrolled in Infinite Campus should be enrolled with an N: SPED Only Service Type unless they are enrolled in a regular early childhood program as outlined here: The Early Childhood Setting of Service Decision Tree.
P: Primary: If the student is enrolled in a regular early childhood program (as outlined above) their Service Type should be P: Primary and the district must track attendance and absences for students in this program.
Q: How do enter a mini- ER or mini-IEP?
A:
Guidance is published on the User Guide page and located under Additional Resources > Transfers. Additionally, note that:
If the IEP has expired, do not use that IEP as a mini.
They are for data purposes only and should not be used if a meeting will occur between the start of school and October 3rd.
They are used for transfer student that does not have an electronic record.
Each editor must be marked Complete or Not Needed to lock the document.
The mini-ER documents the disability and date of evaluation.
The mini-IEP documents the dates for the current IEP.
Enter "refer to the hard copy dated XX/XX/XXXX" to complete editors.
Q: Why does the enrollment information not populate?
A: The student must be actively enrolled on the date you refresh the enrollment field and you need access to specific areas in Infinite Campus.
Contact your district's AIM person to ensure your User Rights in Infinite Campus include as least one of the following READ rights:
student.Person.Summary (R)
scheduling.StudentSchedule (R)
counseling.Schedule (R)
health.Schedule (R)
Q: What are the main differences between the old view and the new look?
A: Infinite Campus rolled out the update for all users this year. There are a few notable differences between the old look and the new look I will point out
Users may reorder and remove Parent/Guardian information from the IEP. This may be helpful when each guardian wants a copy of the IEP with only their name printed.
Meeting participants can be added during the IEP within the Meeting Participants Editor. You no longer need to add everyone to the Team Members tab to populate as a participant.
Only one person can work within an editor at a time, but each editor can have a different user in it simultaneously. This allows for more people to work on an ER or IEP at once.
Q: Can a student have an IEP and 504 at the same time?
A: Yes.
Think of it like this, if a Special Education Student breaks their arm. The student will need a 504 for the time they have a cast on the arm but the IEP is for the determined disability.
Q: I cannot see the Action Bar or the Previous/Next buttons in the ER/IEP.
A: Begin by checking the zoom level the browser screen is set to. If it is greater than 100%, lower the zoom percentage to 100. If that does not restore the buttons, clear your cache/cookies for your browser. Finally, ensure you are operating in Chrome.
