How much electronic communication does a school send in a year?

All of the families of the school my children go to have at least one parent (or guardian) with an email address.


There is regular communication from the school via email which I assume goes to all parents with an email account.


Almost all email from the school is sent through the PR & Communications responsible person at the school. Occasionally I have received individual emails from the school's Examinations Officer.

Weekly:

  • Newsletter with attachments (now hosted on the school's website)
    • Primary News
    • Secondary News
    • Coming school events

Each Trimester:

  • Review of various school activities

Occasionally:

  • Parent Council news
  • Information about special events


Newsletter improvements for the 2014-15 academic year

Previously the school sent communications with Outlook to groups of addresses. Some problems with this system included formatting problems, readability and additional work to republish information on the website.


For the 2014-15 academic year, the school has improved their regular communications with a newsletter system more integrated with their website. The weekly communications now have a more consistent professional look and include the current calendar of events and more links to relevant documents on the website. The redesign of the newsletter has reduced the workload for the Public Relations Officer and has slightly reduced the workload for Primary and Secondary Coordinators who now submit articles instead of producing a full page newsletter.


Personalization is also possible so parents can receive information relevant to only the year group classes their students are enrolled in. Individual emails are sent by the system and subscribers can manage their subscriptions. Another benefit of the system is capturing statistics on the number of people reading the news. So far response rates look good.
