Our team employed a strategic approach to project management, focusing on efficient task distribution, clear role delineation, effective communication, and the use of AI tools to ensure the successful completion of our project within the designated timeline.
Roles and Responsibilities:
Yinuo Ma, Project Manager: Coordinates the project’s overall execution, ensuring team members are aligned with the project's goals and deadlines. Manages resources and acts as the primary point of contact for stakeholders.
Zyla Cheng, Research Lead: Heads the research efforts, gathering and analyzing data to inform our project's design and implementation phases. Develops the research framework and ensures the integrity and validity of data sources.
Eryca Chen, Design Lead: Oversees all design elements, ensuring they align with project objectives and user needs. Guides the visual and interaction design processes, creating a coherent aesthetic and functional user experience.

Task Distribution
Tasks were distributed during our weekly planning meetings, where we used a Kanban board and Miro to visualize workflow and task status. Each task was clearly defined with deadlines and specific deliverables, allowing team members to prioritize effectively and manage their workload.
Communication Strategies
Our communication strategy was twofold:
Regular Meetings: We held 2 meetings per week to discuss progress, address any issues, and plan for upcoming stages. These meetings ensured everyone was aligned and informed.
Digital Tools: We used Slack and iMessage for daily communication and Zoom for remote meetings. For project tracking and documentation, we used Trello, Miro, and Google Drive for sharing documents and resources.
Tools Used
Slack for day-to-day communication.
Zoom for remote meetings and presentations.
Trello for project tracking via a Kanban board.
Miro for collaborating and documenting design process and iteration.
Google Drive for document and resource management.
Continuous Improvement
Throughout the project, we incorporated feedback loops involving all group members to refine our processes and outputs.
Documentation and Reporting
All processes and decisions were documented in shared logs and reports accessible to all team members. This transparency helped maintain consistency and accountability throughout the project lifecycle.
Disclosure of Using AI Tool
In our project, we strategically use AI to help our research and brainstorming processes. As the Project Manager, I ensured that our team used AI tools primarily for gathering data and analyzing papers, which efficiently helped us to identify and understand the key insights from heavy text papers and dense knowledge. Additionally, we employed AI to automate routine tasks, such as sorting meetings and generating knowledge frameworks, allowing our team members to focus more on creative and critical aspects of the project. It's important to note that while AI tools were integral to our workflow, all final decisions and creative inputs were made by our team, ensuring that the project outcomes were driven by our own insights and expertise, demonstrating our ability to both independently think and thoughtfully apply emergent technologies.
