Ved avlevering av enkeltbøker til Stavanger Byarkiv, føres givers navn inn på bokbladet i boken: Gave fra NN. Boken registreres deretter i biblioteksystemet og påføres strekkode og dewey-nummer. Boken settes deretter i bibliotek eller magasin etter aktualiteten”.

Kan bøker ikke avleveres til arkivet vil vi allikevel ha opplysninger om boken med opplysninger om hvor i Norge personer omtalt i boken kom fra. Navn på eier i Norge oppgis da under "plassering"
