Chair Report: Christine S.
I attended NERAASA. Thank you for the honor to go.
Got to meet some grapevine workers. Overwhelmed by the amount of sobriety time.
Learned the word “we” is mentioned over 1,200 times in the first 164 pages which is important because this is a we program, and we can’t do this alone.
Only 31.26% of groups.
Was introduced into a Roberts rules meeting which i’ll be attending to help me with this position.
Will be attending all intergroup day on March 28th.
Reminded people that there is an ability to contribute to GSO directly through their website.
Floor opened for Questions
*motion to accept Chairperson report*
*motion passes*
Vice-Chair: Patrick
I want to touch on the fact that service is a part of our triangle, and service doesn’t just mean being a chair. That we need committee members on all committees, and we need a new secretary. Still in need of a unity chair. Please bring back to your groups that we need to fill these positions.
Floor opened for Questions
*motion to accept vice chair report*
*Motion passed*
Secretary: Vacant
No Report
Treasurer: Frank B.
Treasurer reports in the back. 0’s on the electric and gas, we used square pay and we actually paid ourselves by accident. We’re still learning. The bills will be corrected in March’s report.
Floor opened for Questions
Jack- I see over 1,000 in the jail can. How come we have so much in there?
Frank- Nobody has been asking for books. That number will change
Devon- January and february incomes didn’t add up.
Frank- I’m still learning the position, and the report is different. I’ll have it corrected for next month.
Jason- Whats the miscellaneous charge
Frank- Office supplies and equipment
Charlie- We switched the internet, and it came with a new router, so we had to pick up new wires. Also picked up a table, and cloth for the literature table, cleaning supplies, paper, paper towels.
*motion to accept treasurers report*
*motion passed*
Activities: Moe
Tickets for the dance in April went out last month, please return the stubs if you have sold them already. If more are needed they’re still available. Will need help setting up. Need baskets and tricky trays. That’s how we make most of our funds with the dance, we typically just break even with the dance, but the raffle baskets do help intergroup. Please get tickets in by the 14th, final sales will be the 21st.
Brittany: Want to remind everyone you can purchase tickets online, at our website, nepaig.org, just click store.
Christine: You could also ask myself, or one of the committee members if you’re looking to purchase a ticket. Also Anonymous will be speaking.
Floor opened for Questions
David- When will the last day be for the tickets?
Christine- April 21st 2026
Archives: Austin
Not Present
Bridging the Gap: Chris R
Just starting to learn the position. Reminded everyone of the responsibility and opportunity we have to help people find their way to AA, and show the welcoming nature of AA by signing up for bridging the gap.
The tear off piece of paper on our bridging the gap signups, are an extremely easy way to sign up somebody for help when they leave a treatment facility.
Central Office: Charlie
We switched our internet over to astound, and the office phone over to zoom.
This gives our committees to hold zoom meetings making it easier to be a part of the service structure.
Moved us from NTherm back to UGI since they were charging us twice the going rate.
Need a volunteer for the first Saturdays of every month from 10-2.
Starting in April our store will be open from 12-7 every Tuesday.
Our square cost went up from $90 a month to $150 a month. They changed their pricing structures from business specific, to a basic 3 tier system. The things we need put us into the premium but it does unlock some new features for us.
With the current systems, we’re going to be moving away from quickbooks.
Literature- Our literature committee has reached out to some workshops, conferences, and camp out about holding a table at the respective events. They’ve also been in contact with the grapevine chairs in the area to hold a table next to them. Unity.
Hotline- Mentioned earlier we had moved our office phone over to zoom, we will also be moving our hotline over to zoom. This gives the ability to have multiple people on a hotline shift at the same time, where the calls would ring simultaneously or sequentially. We know we’ve had a few people who’ve wanted to sign up to become a hotline volunteer but all the shifts were filled, so again, this gives the chance for more people to be of service. And its cheaper.
Website- We’ve missed a few textblasts. The person who was operating our groupme has moved away into another Intergroup. We are looking for someone to fill the role. It’s responsibility really is just posting in the groupme when a textblast notification comes in.
Any textblast requests please email the web servant.
There’s a new page at the path change login to document website changes
The website has been redesigned for transparence and functionality purposes. If anyone hasn’t had the chance to look at it yet, please do so. We’d love your feedback.
We have asked the subcommittees for information on what they’d want on their page on the website.
Floor opened for Questions
Nina-Is there a cost to zoom?
Charlie- We’re paying 26 a month for a zoom phone, and with that comes the zoom platform. We can have up to 300 people attend a meeting. Before we go to get into the hybrid conversation, that would be a very big cost upfront. We’d need a camera, screen, another laptop, microphones, and we’d need a person to run the hybrid, and a second to monitor the attendees online to make sure they’re not second rate attendants, and we already have vacant important positions like secretary and unity.
Nina- The store will be open from what time on tuesdays?
Charlie- 12-7 We have a volunteer willing to filling those days now but we are absolutely looking for more people to be there.
Nina- Do we still have a website chair?
Charlie- Yes, she’s very active on our website but its difficult for her to make it here.
Nina-I had a suggestion that I don’t think you’d go for it.
Charlie- I’m much more open than my anxiety would lead on.
Nina- I was going to say bring Kim back.
Charlie- I didn’t handle that well. I took no pleasure in giving off that list. We wanted Kim to stay on the committee, but it’s not how it played out.
Jimmy- So we’re 86ing quickbooks?
Charlie- Yeah, it does all over our reporting and it gives us more reporting.
Frank- Just to clarify its my 3rd month in this position and i have yet to need to open it for my report. No sense in paying for something we don’t use.
Dick- Are we good with our taxes? That was the whole reason we held onto quickbooks.
Charlie- We have the ability to pull of our records from there. Which we will do before we cancel the subscription.
*motion to continue*
*motion passes*

Unity: Vacant
Website: Mary
Looking for committee members, and open to suggestions.
Finance: Dave
Finances seem to be back on track, so I’ll be stepping away to explore other service opportunities.
Old Business
Joe- What happened with our 2023 taxes?
Christine- I’ll double back and check with the previous chair to see where that left off, but i’m pretty sure they were handled.
Joe- What should our Prudent reserve be
Christine- Slightly under 15,000. Frank and i have to go and get the names straightened on our prudent reserve account. We’ve agreed to put 100 a month back into it.
Charlie- WE also needed a secretary for these things. We haven’t had meeting minutes to take to the bank for these updates.
Joe- Can we go back and get the history of our prudent reserve.
Frank- The first time i was treasurer, we formed a finance committee to assess our situation. We had 15,000 the committee decided we should have 9,000. Covid forced us to have to hit the prudent reserve which brought us to that recommendation. We had to hit it recently, and the goal was to put it back to 9 months, since that what it was.
Joe- It should be 6 months, and we should look at our history so we could know what to do here.
Unity is still Vacant
Sam- Whats unity. I looked at the bylaws, but is there something to teach someone what it is?
Charlie- You can do a lot of thing with unity. You can do workshops, unity events, should partake in district, area, intergroup, and surrounding area events. Promote unity. If a homegroup or meeting wants information or look to get involved it would be Unity who goes out and speaks to them. Not to give you a different answer than I was given: “whatever you want”.
*Sam W stands for unity*
*Nobody ran against*
*All in favor*
*Sam W is the new Unity Chair*
Finance Committee is Vacant
Secretary Position is Vacant
Reading of proposed bylaw changes. This is the second month of reading. Will vote on the 4th month. Available on our website.
New business
Joe- *puts motion to create adhoc committe to review bylaws and discuss and make recommendations before making any current changes to the bylaws are made*
*seconded*
16 aye, 5 opposed.
Sy- It’s what we’re doing here. Everybody here can see the changes that are being made. We all have to have a few people look at these things, its what we’re already doing.
Dorothy- I’m with the previous gentleman. I just dont understand the point of this. Is there a problem with it now?
Kevin- Is the adhoc committee to replace what we’ve been doing?
Corey- is all the blue on the the changes. That’s a lot
Charlie- The majority of it was from wordcheck. Spelling and grammar. The ones done for the committees were taken by the committees to more accurately present the information we use and how we do it, and to clean up the verbiage.
Sam- Can we take these bylaw changes back to our homegroup and come back with changes they want?
Charlie- Yes, Please.
Patrick- Yes, that’s what we’re asking for.
9 aye, 20 opposed.
Motion did not pass
Joe-It says here we have 8 permanent committees and 1 sub committee. Where did the literature committee come from. It’s like someone just said there’s a literature committee and there it is. And it’s crazy. If i look at all the money charlie spent, and i look at we went into the negative, and we owed gso, and we had leaks in the office.
Charlie- Keep in mind there was 1 subcommittee on the bylaws, yet we had a website committee before i got here, a hotline committee before i got here, and if you look at the bookstore, it is kind of a literature committee, we just gave it form and put someone there to help support it. So all we did was put it on paper. 2 months ago we had a big ordeal about a chairperson that’s not even in the bylaws. We made it more active, and more efficient and its a responsibility that we took from one person and gave it to more people. Now its shared.
Joe-How do you get money?
Charlie- I have to run it by the officers for the most part.
James DCM District 49. announcement-
EPGSA is coming up in november, and they’re looking for a guest observer. Which is an excellent chance for public information. It gives a chance for someone who is not one of us to come and see what this is all about.
Joe-Can i get a motion for a history of our prudent reserve balance.
Frank-Can i get you a balance for it next month.
Joe-I just want to see the changes
Frank- Can i go back 6 years.
Joe- I just want to see discrepancies. I want to see if the balance changed.
Frank- I will get you what you’re asking for.
Sy- I saw an intergroup inventory was in the bylaws, but i would be willing to help out with the next one.
Christine- They were done two years ago but that will be noted.
Motion to close.
Closed with The Responsibility Statement.
