Author visits can be planned by schools as virtual or in-person events. When scheduling author visits, consult with the MTAC when planning the event and work with the school treasurer to make sure GCS policies are being followed.
In most cases, authors will have to sign a contract, complete a W2, and provide a receipt for payment. Allow enough time before the visit to get all documents to the treasurer so payment can be given to the author the day of the visit.
Things to consider when scheduling the visit:
What is the funding source for the visit (Title I funds, school funds, PTA funds, grant funds)?
What paperwork is required?
What travel and transportation arrangements/expenses are required?
What age level is the author’s audience?
What is the author’s presentation fee?
What format is the presentation – face-to-face or virtual?
Things to consider when planning the visit:
What size groups will the author present to?
What are the author’s presentation needs (sound system, technology, etc.)?
What space will the author present in?
Things to consider when preparing for the visit:
Will the author’s books be offered for pre-sale?
Who will pay for the author’s lunch?
Will the author eat lunch with students?
Who will host the author during the school day?
How will the author get to and from the school?
Share books
Have author’s books available for library and classroom instruction and student circulation.
Read author’s books to students in classes, over the announcements, etc.
Research
Have students research the author and preview the author’s website.
Have students prepare questions to ask the author.
