Setting Up the Calendar in CareHawk Spotlight
Paging Instructions for CareHawk Spotlight
On the Spotlight dashboard, click Page.
All rooms will highlight purple.
Begin speaking into your microphone.
Click the Zones tab.
Choose a preconfigured zone (e.g., classrooms only, offices, or a building wing).
Speak; only the selected rooms will hear the page.
Left-click a single room in the list.
The room will highlight blue.
Click Page and begin speaking.
Open Schedules.
Enter your school year start and end dates.
Click Save.
In Schedules, click Add Day Schedule.
Name the schedule (e.g., βPrep Rallyβ).
Add bell times or events with tones.
Save the schedule.
Apply to all weekdays or specific days (e.g., every Friday = Prep Rally).
Add Exclusion Dates (Holidays/Breaks)
Enter the holiday name and dates.
Save to exclude bells for those days.
Initiating an Emergency Page
Select the Emergency Page option in Spotlight.
Speak clearly into your microphone.
The alert will broadcast across all devices instantly.
Best Practices
Use short, direct messages.
Follow district safety communication protocols.
From the dashboard, select Tone.
Choose the sound (e.g., Tone 15 = School Bell).
Click Play to broadcast it.
Go to the Calendar tab.
Add bell times as events (e.g., 7:05 First Bell, 7:14 Tardy Bell).
Save the schedule so tones run automatically.
The Dropdown Bell Schedule menu is located in the top right corner of Spotlight, next to the User Settings (gear icon/profile menu).
Use this menu to quickly switch between prebuilt schedules (e.g., Regular Day, Early Release, Assembly, Pep Rally).
Once selected, the chosen schedule immediately applies without rebuilding the calendar.
This is especially useful for special events or unexpected schedule changes.
Spotlight supports custom tones (e.g., unique bells, music, emergency alerts).
Files are uploaded by the tech team (typically .wav or .mp3).
Once uploaded, they appear in the Tone list and can be scheduled or played manually.
Tip: Keep tones short (under 10 seconds) so they donβt delay announcements.
Purple highlight = All rooms selected for a global page.
Blue highlight = A single room is selected.
Confirmation pop-ups may appear when saving or broadcasting.
Always double-check before confirming a page or tone.
Emergency tones and pages override everything (bells, tones, announcements).
Only use during urgent situations.
Keep emergency messages short and clear.
Exclusion dates: Planned closures (holidays, breaks). Add these so bells donβt ring when school is closed.
Overrides: Temporary skips or changes without editing the whole schedule. Use when you need to bypass bells for a day.
