Students from Monash University are ineligible for this role, with the exception of PhD students who are studying 100% by research and do not have any coursework/exams for their course.
Successful Candidates will be invited to a group interview on Clayton Campus. The group Interview will run for a duration of approximately 1 hour.
In-person attendance is compulsory and will be used to verify your suitability for this role.
The group interview activities will cover essential skills required for this role such as:
your communication skills,
comprehension of material,
ability to work collaboratively,
IT competence
Before the group interview:
Remember, first impressions count, therefore, we recommend you to please dress in a smart casual business attire.

On the day of attending the group interview:
Be punctual. Candidates who are late may miss important information relevant for the interview session and may need to rebook a new group interview time if they are late.
Please plan your travel and parking options ahead of time. We recommend referring to the Monash transport and parking link for suitable parking options.
At the group interview, there will be a presentation, group activity and individual activity.
Bring the original AND a copy of the following documentation:
An Employee Working with Children Check (WWCC) if you have one AND a valid passport; or
An expired Australian passport AND an Australian driver licence; or
An Australian citizenship certificate AND and Australian driver licence or photo ID; or
An Australian birth certificate AND an Australian driver licence or photo ID; or
A certificate of evidence of Australian citizenship AND an Australian driver licence or photo ID
Next steps after attending the group interview:
All candidates will be notified of the outcome of their application within 2 weeks of their group interview date.
A current Victorian Employee Working with Children Check is essential to the undertaking of this role, however your application will be able to progress through the initial stage of the recruitment process without providing the WWCC.
If your application progresses beyond the initial stages, you will be asked to obtain an Employee WWCC at your own expense and will be asked to reference Monash University as your employer. Proof of your WWCC is required to be submitted prior to an Engagement Offer being released.

How do I apply for a Working with Children Check (WWCC)?
There are some key steps to follow to apply for your Working with Children Check (WWCC).
Go to the Department of Justice and Regulation website and click on "Apply for a Check'.
Follow the prompts to complete your application.
By law, you must nominate Monash University as your employing organisation. Enter the exact details below (irrespective of your actual campus location) on your application form by manually typing over the auto-populated current address field:

The application can be completed fully online, otherwise you can lodge your application in-person at a registered Australia Post outlet. Ensure that you bring along all of the required documentation which includes:
Proof of ID required for lodgement. For a list of acceptable identification, refer to the WWCC website; and
Printed or digital version (from your smart phone) of the email receipt (which includes the accompanying application barcode) that you receive from the Department of Justice and Regulation on completion of your online application.
Pay for the fee for your new WWCC application
You will then receive an email from the Department of Justice and Regulation with the outcome of your WWCC application within two weeks of lodgement.
If you are applying for a new card, please provide the receipt (including application number) on the day of your group interview if you haven't received it yet.
Unfortunately, we do not provide reimbursement for your WWCC. You may be able to claim for a Tax deduction, visit the ATO website for more information.
It is a requirement that all IT Support Officers complete a Conflict of Interest form.

This role requires timesheets to be submitted via the Employee Self Service (ESS) System. It is best practice to submit your timesheet daily.
Login to ESS (Employee Self Service) and click on the ‘My Timesheet Entry’ tile under ‘My Services’.
Timesheet Unit Code
A timesheet unit code is a unique code that tells HR which department the activities listed on your timesheet were completed for. The unit code is linked to a specific Supervisor who is responsible for approving any time entries you submit against it.

Casual Engagement Activity Types
When completing your timesheet to indicate the hours you have worked, you will need to select an activity type that explains to your supervisor the hours you have worked and the length of your lunch or work break.
When claiming timesheets for the work you undertake in this position, you need to ensure your timesheet accurately reflects your working hours and uses the correct casual professional activity type. Refer to further information about appropriate activity types.
After you have completed and submitted your timesheet, it will be sent for approval to your supervisor.

You must use your Monash STAFF email account to access this system.
All instructions on how to do this are contained in the nimbus FAQ, especially the Quick Reference Guides (QRGs) section.
To-Do List for nimbus:
☐ Access nimbus through the web app or download the nimbus app on your phone (recommended) - via Apple Store for iPhones and Google Play for Androids.
☐ Update your unavailability in nimbus (i.e. record your unavailability so you are not rostered when you can't work)
☐ Check the 'Schedule' view of nimbus when updating your unavailability, to ensure that you don't have any outdated or incorrect unavailability entries that prevent you from being eligible to work; this view would also allow you to see any offered and accepted shifts
☐ Accept or reject your offered shift once the weekly roster is released
An offered shift will give you two options: you can either accept the shift or reject it after reviewing the shift details.
Accepting the shift means that you are available to work that shift, this will show up in 'Schedule' as a green circle.
Rejecting an offered shift means that you will not be able to work that shift. Afterward, update your unavailability for that period to prevent being rostered again during the same time.
☐ Dropping an already accepted shift
Accepted shift is different from an offered shift in which it is the shift that you have accepted initially; you will not be able to drop it in the nimbus app - only the rostering team who assigned you the shift will be able to remove it for you

You will receive an IT activation email from eSolutions within 24-48 hours of accepting your Terms of Engagement. If you have not received this email, please contact eSolutions (9905 1777).
Once you have activated your Monash account, you will be able to view your Staff ID by navigating to ESS.
Please be advised that although your contract may indicate an earlier start date than the exam period, this date allows our team time to activate and arrange any necessary IT account access. There will be no shifts available prior to the exam period (8 June - 24 June), however you will be required to participate in paid training for the role.

eExam IT Support Officer - compulsory training
Please refer to the email that will be sent to your Monash account inbox within a few weeks of your contract start date regarding Conflict of Interest, Training and Roster Info.
The eExam IT Support Officer role will be conducted entirely on Monash University’s Clayton campus. There are no remote working locations available.
The Semester 1 Exam Delivery Period from Monday 8 June to Wednesday 24 June inclusive.
Exams will run weekdays typically between the hours of 9:00 am to 10:00 pm.
Please note that some holiday dates are designated as University work days. See University holiday and closedown dates for a complete list of all university holidays.
The King's Birthday and Melbourne Cup are not University Public Holidays. Exams will be held on this day and rostered staff will be expected to work.
For University work days your casual loaded rate will apply, there are no added penalty rates on non-University holidays.

Monash University doesn’t have a specific dress code; however, you should dress in a way that is neat, and professional and couldn’t be considered offensive to others.
Professional attire:
Office/work appropriate, Business Casual is a good aim.
No offensive imagery or slogans on clothing
Identification: wear a lanyard with your Monash staff ID so Security can identify you
For safety:
Wear comfortable, quiet shoes
Avoid wearing high heels, due to tripping hazards
Start/End times: You should aim to keep track of your own shift Start and End times. Start times will begin from the time you check-in with your SME on shift. If you arrive earlier than the rostered start time, you will be unable to claim for this time and can only claim from the rostered start time. End times will also either finish at your rostered time or at the time you left, which could be earlier.
It is best practice to submit your timesheet daily.
Training: Prior to attending training, an email (Subject: Action Required for New Staff) will be sent out. Please refer to this email for detailed information on how to claim for IT Training.
You must be located in the state of Victoria to complete any work as an eExam IT Support Officer, inclusive of training. If you are travelling interstate or overseas, ensure you update your UNavailability in nimbus. You will not be authorised to work if you are outside the state of Victoria.
