We're currently finalising the role descriptor to Deputy Event Lead.
The Deputy Event Lead will work closely with the Event Lead throughout the entire ScotJam journey – from planning and preparation to post-event evaluation. They will be responsible for facilitating key aspects of the event and overseeing the performance of other team members.

The Welfare Team Leader is responsible for supporting the Event Lead in overseeing the welfare of all participants at ScotJam. This involves supporting Welfare Team Members to ensure a sage, supportive and inclusive environment for all participants.
This role will require a time commitment prior to the start of the event.
Participant Welfare
Review all participant information, including any specific needs or requirements - following up with families as required to seek further information if required.
Alongside the Event Lead ensure that appropriate support and resources are in place to meet the needs of all participants.
Share relevant information with appropriate Welfare Team Members.
Monitor the emotional and physical well-being of participants and volunteers throughout the event.
Event Support
Work with the Event Lead to allocate participants to accommodation blocks and activity groups taking information into consideration their individual needs.
Support the delivery of the evening program as required.
Deputise for the Event Lead when required.
Number of Vacancies → At our Cub & Scout events we require at least 21 Adult Volunteers | At our Explorers event we require least 14 Adult Volunteers.
As a member of the Welfare Team, you will play a crucial role in creating a safe and supportive environment for participants attending ScotJam. You will work closely with a team of at least two other volunteers (one other volunteer in the case of Explorers) to supervise and care for a group of 12 to 20 participants residing within a specific accommodation block.
Participant Support
Ensure the needs of all young people within the accommodation block are met
Provide emotional support, guidance, and assistance to participants as needed.
Address minor medical concerns and help participants access necessary medical attention.
Assist with resolving minor conflicts between participants.
Help participants feel welcome and included within the accommodation block.
Assist with the delivery of prescribed medication to participants as required, whilst following guidelines.
Supervision
Conduct regular room checks to ensure participant safety and well-being.
Monitor participant behavior and address any concerns promptly.
Respond to emergencies and ensure the safety of all participants.
Be available to participants during mealtimes, overnight, and when they are not engaged in supervised activities.
Maintain a visible presence within the accommodation block to provide support and reassurance.
Ensure participantes are prepared (in time) and ready for activities.
Teamwork
Collaborate effectively with other Welfare Team volunteers to ensure comprehensive support for all participants.
Communicate any concerns or issues to the Welfare Team Lead or Event Lead.
Support the delivery of the evening program as required, including set-up, assistance with activities, and ensuring participant safety.
Participation
Support the delivery of activities, whilst participating some activities alongside the participants, fostering a positive and inclusive atmosphere.
Coach Chaperone (Optional)
As a Coach Chaperone you will be amongst the first people participants meet when they get on the coach, and you will be responsible for supervising the participants on their journey to/from ScotJam, and during any rest stops.

The Programme & Young Leader Coordinator is responsible for planning, coordinating and delivering the evening programme (and the Wednesday afternoon programme for Scouts), while also overseeing the recruitment, training and support of the Young Leader team.
Young Leaders are essential to delivering the evening programme. This role ensures they are well-prepared, meaningfully involved and empowered to contribute to an engaging and inclusive experience for all participants.
This role requires strong organisational skills, effective communication and a commitment to youth development. A time commitment is required prior to the event.

Programme Planning, Development and Delivery
Design and deliver a dynamic and engaging evening programme in partnership with the Scout Adventures Lochgoilhead team.
Plan and coordinate a variety of inclusive activities, such as campfires, quiz nights, cinema nights, Scouting skills evenings and the final disco.
Ensure the programme is accessible, age-appropriate and aligned with event aims.
Integrate Young Leaders into programme delivery with clear responsibilities and opportunities to lead.
Review and evaluate the programme, gathering feedback for future improvements.
Wednesday Afternoon Programme (Scouts Only)
Oversee the planning and delivery of a relaxed afternoon programme focused on rest and participant choice.
Provide a range of optional, low-intensity activities.
Ensure smooth coordination and a positive experience for all participants.
Young Leader Recruitment and Preparation
Support the recruitment process by reviewing applications and selecting suitable candidates.
Plan and deliver pre-event training to prepare Young Leaders for their roles.
Define Young Leader responsibilities and expectations clearly.
Young Leader Support, Development and Supervision
Provide guidance, mentoring and pastoral support throughout the event.
Ensure Young Leaders are integrated into appropriate programme teams.
Supervise and support Young Leaders during programme delivery.
Offer feedback and create opportunities for leadership and teamwork development.
Recognition and Reflection
Recognise and celebrate Young Leaders’ contributions.
Provide opportunities for reflection and personal development.
Collaboration and Communication
Work closely with the Event Lead and Scout Adventures Lochgoilhead team to ensure seamless programme delivery.
Communicate clearly with volunteers, staff and Young Leaders about programme plans.
Support positive teamwork across the volunteer team.

The Digital & Social Media Team plays a crucial role in promoting ScotJam and engaging with the Scouting community throughout the event. This dynamic team will be responsible for creating and sharing engaging content across various digital platforms.
This role will require a time commitment prior to the start of the event.
Pre-Event:
Assist in the development and implementation of the social media strategy for ScotJam.
Create engaging social media content, including text, images, and videos, to promote the event and encourage participation.
Manage social media channels, including Facebook, X, Instagram, and potentially others.
During the Event
Gather images and videos.
Collate and review the collected content from other Volunteers.
Upload and engaging content to social media platforms.
Number of Vacancies → 1 person across all three events (Cubs, Scouts & Explorers) - role sharing in an option.
A key feature of ScotJam is the provision of transport for participants. For our Cub & Scout events this involved a number of coaches from key locations across the country - likely to include Inverness, Aberdeen, Dundee, Perth, Stirling, Edinburgh & Glasgow. For our Explorer event, this is likely to include a shuttle service from Glasgow, with participants self-travelling to Glasgow.
The Transport Coordinator will oversee the planning and delivery of transport arrangements to and from the event. Within this role there is no requirement to attend ScotJam, or you could attend ScotJam in another role.
This role will require a time commitment prior to the start of the event.
Transport Planning and Logistics
Obtain quotes from a range of coach operators, considering factors such as cost, vehicle size, and service quality.
Work with the Event Lead to determine the most cost-effective and logistically sound transport solutions for participants.
Coordinate departure locations and timings with selected coach operators in collaboration with the Event Lead.
Safety and Compliance
Ensure adequate numbers of adult volunteers travel on each coach to maintain appropriate adult-to-participant ratios as per The Scouts Policy, Organisation and Rules (POR).
Liaison and Communication
Maintain regular communication with coach operators to address any queries or issues.
Liaise with the Event Lead and other parties to ensure smooth coordination of all transport-related activities.
Documentation and Records
Maintain accurate records of all transport arrangements, including bookings, costs, and any relevant correspondence.

Participant Welcome and Support:
Assist in welcoming Beaver groups upon arrival at ScotJam.
Provide support and guidance to Beavers throughout the event.
Ensure the safety and well-being of all Beavers within your assigned group.
Outdoor Activities:
Assist in the planning and delivery of a variety of outdoor activities suitable for Beavers.
Ensure all activities are conducted safely and appropriately.
Provide clear instructions and support to Beavers during activities.
Evening Programme Support:
Assist in the planning and delivery of engaging evening activities for Beavers.
Ensure a fun and inclusive atmosphere during evening activities.
Supervise Beavers during evening activities to ensure their safety and well-being.
Teamwork and Communication:
Work effectively as part of a team to provide a high-quality experience for all Beavers.
Communicate effectively with Group Leaders, other volunteers, and event staff.
Follow all event instructions and safety guidelines.
