Event Planning

However, due to college policies, some events require approval from the college first. Parties that take place on Friday and Saturday nights almost always need to be submitted to Middlebury’s Event Management, meaning that requests for the basement on weekends should come in early (the official college policy states 3 weeks, although 7 days' notice should be fine in most cases).  

After coming up with a name and description for your event, find an available space and time using the haus calendar. 

There are four spaces at Brooker that can be used to host an event: 

1. Basement 

2. 1st Floor Common Room

3. 1st Floor Outdoor Patio

4. 2nd Floor Common Room (Resident-only events, no outside orgs)

Check 25Live for more detailed information regarding each space, including maximum capacity and features. 

By putting in an event reservation, you agree to be held responsible for it.

• This includes cleaning up afterwards, making sure everyone is safe, and reporting any damages immediately to Facilities and the Board.

You must also personally be there during the entirety of the event.
Please clean up the basement afterwards so it is a nice space for the next group.

• We haven’t had too many problems getting orgs to come back and clean up the morning after.

Special Instructions for Parties

Please make sure all attendees remain in the area that you have reserved for (i.e., the basement). We have had issues with attendees trashing public/private spaces in the past.
You need to have a crowd manager.
In most cases, Brooker Haus will need to submit an event management request on your behalf.

• The Board will email the sponsoring organizations listed on your calendar entry to coordinate this and to make sure that we are on the same page, so please make sure the other organization(s) know this.

Make sure you have plans to get a crew of people to clean up afterwards.
