MEMS Infinity Challenge – Privacy Policy
This Privacy Policy describes how Sumitomo Precision Products Co., Ltd. (PiezoMEMS Project) (“Organizer”, “we”, “our”, or “us”) collects, uses, and protects the personal information submitted by participants (“you”, “your”) in connection with the MEMS Infinity Challenge (“Challenge”).
1. Information We Collect
We collect the following types of information from participants via the application form and submission process:
- Personal details: name, email address, organization/institution
- Project-related information: proposal title, abstract, presentation materials, CAD or design files
- Questionnaire responses
- Optional photo or organizational logo (for winners)
2. Purpose of Use
We use your personal information for the following purposes:
- To evaluate entries and conduct the Challenge
- To contact participants regarding application status or awards
- To manage winner selection and prize distribution
- To publish the names, project titles, short bio and photos/logos of winners on the Challenge website and promotional materials (with prior notification)
- To facilitate collaboration with winners for further product development (i.e., PiezoMEMS2025 award recipients)
3. Data Sharing and Disclosure
We do not share your personal data with third parties except in the following cases:
- With affiliated professionals (e.g., judges, reviewers) involved in the evaluation process, under confidentiality obligations
- When required by law or legal process
Winner names, project titles, and related visuals may be published on the Challenge website and official communications with your consent.
4. Data Retention
We retain your personal data only for as long as necessary to fulfill the purposes stated above.
Submissions that did not win will be deleted or anonymized after the conclusion of the Challenge unless longer retention is legally required.
5. Your Rights
You have the right to:
- Request access to your personal information
- Request correction or deletion of your personal data
- Withdraw consent to the use of your data (where applicable)

We implement appropriate technical and organizational measures to protect your data against unauthorized access, loss, or misuse.
We take appropriate technical and organizational measures to protect your data, and all handling of personal information will comply with applicable data protection laws, including Japan’s Act on the Protection of Personal Information (APPI).
7. International Transfers
If you are located outside Japan, your information may be transferred to and processed in Japan in accordance with applicable data protection laws.
We use Google Workspace as our cloud service provider, which may store data in data centers located in Asia or other regions depending on Google’s global infrastructure. Additionally, submitted files may be temporarily stored on secure company computers located in Japan for evaluation purposes.
8. Updates to this Policy
We have also established internal guidelines to ensure that this Privacy Policy is consistently implemented within our organization. We may revise this Privacy Policy from time to time. The latest version will be published on the official Challenge website with the effective date.
