Visa Application Guidance for Event Participants
Welcome, and thank you for participating in 2025 GreenMetric Ranking Results & Award Ceremony with Roundtable Forum. Please review the visa application instructions carefully. This guidance is intended only for attendees participating in government-sponsored, academic, or institutional events, and is not for tourism purposes.
Visa-Exempt Entry
Nationals from certain countries are eligible to enter Taiwan without a visa for short-term stays (14, 30, or 90 days), including for official events.
Check if your nationality is visa-exempt: Taiwan Visa-Exempt Entry List – BOCA, Ministry of Foreign Affairs
If your country is listed, and your stay complies with the listed conditions, you do not need to apply for a visa. Please ensure your passport is valid for at least 6 months on your planned date of entry.
eVisa for Non-Visa-Exempt Participants
If your nationality is not eligible for visa-exempt entry, you must apply for an eVisa to attend this ceremony.
What is the process?
Step 1: Information Collection: Host university collects your personal info and required documents via Google Form and email.
Step 2: Submission to MOE: Host university submits the documents to the Ministry of Education (MOE) as part of a formal report.
Step 3: MOE Review: MOE reviews the submission.
Step 4: Notification to Host: MOE informs the host university once your participation is approved.
Step 5: Authorization Recorded: BOCA (Bureau of Consular Affairs) records your approval in their system.
Step 6: eVisa Application: Host university informs you to apply for your eVisa online.
Required Documents for Ecode Application
To help us prepare your visa-related documents, please complete the Visa Application Google Form by October 30, 2025 with accurate passport information. To facilitate your participation and process your visa application to enter Taiwan, we are required to collect certain personal information. This information will be submitted to relevant authorities, including the Ministry of Education and the Ministry of Foreign Affairs in Taiwan, solely for official visa processing purposes. Please note that participants who register after 30 October can apply for their Taiwan visa according to the regulations of their respective countries.
The following fields are required:
Nationality: Use the two-letter country code (e.g., US, VN, TH)
Passport Number: As shown in your passport
Surname: Capitalized, as on your passport
Given Name: Capitalized, as on your passport
Date of Birth: Format: YYYY/MM/DD
Passport Expiry Date: Must be valid for at least 6 months (Format: YYYY/MM/DD)
Sex: M / F / X (Unspecified or Non-binary)
After completing this form, please upload the required documents listed below (in PDF format) using the upload section at the end of the form. To ensure timely processing, kindly make sure all files are clear, complete, properly named, and submitted by October 30, 2025. Please prepare these documents in advance to ensure a smooth process. Curriculum Vitae (CV)
2. Invitation Consent Letter signed by a head or senior official at your university/institution.
3. Proof of Employment (e.g., employment certificate or faculty/staff ID)
4. Color Passport Bio Page (clear and valid for at least 6 months)
5. Please upload a recent passport-style photo that meets the following requirements:
· Format: JPG or PNG
· Minimum Size: 600 x 800 pixels
· File Size: Between 100 KB – 2 MB
· Background: Plain white or light background
· Quality: Color photo, clear, no shadows or distortions
· Other: Face centered, no headwear (unless for religious purposes), no sunglasses
6. Brief Description of Your Role and Responsibilities in this event
Please note: Missing or incomplete documents may result in failure to obtain approval from the Ministry of Education.
Please make sure you provide a valid and frequently-checked email address, as notifications will be sent via email once your eVisa application is ready to proceed.
