Mahogany Finance respects your privacy.
This policy applies to all existing and prospective customers, borrowers, depositors, guarantors, business contacts and people who contact us, visit our website, complete an application or respond to our advertising, including through LinkedIn. It explains how we collect, use, disclose, protect and retain personal information, and how you may contact us about that information.
1. Information we collect
Depending on the nature of your dealings with us, we may collect your name, contact details, date of birth, residential and business addresses, identification and verification records, employment and income details, financial statements, bank statements, assets, liabilities, credit history, tax-related information, transaction and account records, application documents, security and guarantee details, correspondence and complaints. For business customers, this may include information about directors, shareholders, beneficial owners, authorised signatories and guarantors. We may also collect information about how you interact with our website and online forms.
2. How information is collected
We collect information directly from you through enquiries, applications, account opening, transactions, meetings, telephone calls, emails, website forms and social media or advertising lead forms. Where relevant and authorised or permitted, we may also obtain information from your employer, referees, guarantors, credit reporting bodies, banks, financial institutions, publicly available registers, service providers and other lawful sources.
3. Why we use information
We use personal information to respond to enquiries; contact prospective customers who request information; establish and verify identity; undertake know-your-customer, anti-money laundering and other regulatory checks; assess creditworthiness, affordability, deposits, facilities and security; administer loans, term deposits and other services; process transactions; manage arrears and recover debts; detect and prevent fraud; handle complaints; maintain records; meet legal and regulatory obligations; and improve our operations and customer service. We may use contact details for relevant product information or marketing where permitted, subject to your communication preferences.
4. LinkedIn and other advertising enquiries
If you submit your details through a LinkedIn Lead Gen Form or another advertising or social media form, we may receive the information you choose to provide, including your name, contact details, employer and the product or service in which you are interested. We use it to respond to your enquiry, discuss the requested product or service and, where you have agreed or otherwise permitted, provide relevant follow-up information. Submitting an enquiry does not constitute a loan or deposit application or guarantee approval. We recommend that you do not submit identity documents, account numbers or other sensitive financial records through public social media messages.
5. When information may be disclosed
Where necessary for the purposes described above and authorised or permitted by law, we may disclose relevant information to credit reporting bodies, employers for employment or income verification, banks and payment providers, insurers, valuers, professional advisers, auditors, technology and document service providers, authorised debt recovery agents, regulators, law enforcement and other relevant authorities. We seek to limit disclosures to information reasonably required for the relevant purpose. We do not sell customer personal information to third parties for their independent marketing.
6. Overseas processing and third-party platforms
Some technology, hosting, communication, analytics and social media providers may store or process information outside Papua New Guinea. Where such providers are used, we take reasonable steps appropriate to the service and information involved to manage confidentiality and security. External websites and platforms, including LinkedIn, operate under their own privacy policies and controls.
7. Storage, security and retention
We take reasonable administrative, technical and physical measures to protect personal information against unauthorised access, misuse, loss, alteration and disclosure. Access is restricted to staff and service providers with an appropriate business need. We retain records for as long as reasonably required for our business, contractual, legal and regulatory obligations, including applicable record- retention requirements. When no longer required, information is securely destroyed or de-identified where practicable. No electronic transmission or storage system can be guaranteed completely secure.
8. Website cookies and analytics
Our website may use cookies or similar technologies, including services provided by third parties, to support functionality, understand website usage and improve the visitor experience. The particular technologies in use may change. You can manage cookies using your browser settings, although some website functions may be affected. Where consent is required, we will seek it as applicable.
9. Access, correction and marketing preferences
You may contact us to request access to personal information we hold about you, ask us to correct inaccurate or outdated information, change your marketing preferences or raise a privacy concern. We may need to verify your identity before acting on a request. Access or correction may be subject to applicable legal restrictions, and we may need to retain certain records even if you no longer use our services. You can ask us to stop promotional communications; essential account, contractual and regulatory communications may still be sent.
10. If information is not provided
If you do not provide information reasonably required for identity verification, regulatory compliance, credit assessment or administration, we may be unable to process an enquiry or application, establish or continue an account, or provide a requested product or service.
