Club members are highly encouraged to take the initiative and organize informal get together — they are straightforward to plan, incredibly fun, and serve as fantastic opportunities to connect with both new acquaintances and cherished old friends within the club. These smaller gatherings are a wonderful way to foster community and enjoy the RV lifestyle in a relaxed setting.
Define the Basics: When and Where
Select Your Dates: Choose dates that are most convenient for you and likely to work for potential guests. Consider weekends, long weekends, or mid-week for a more relaxed event. Be mindful of local holidays or major events that might cause conflicts or offer unique local appeal.
Pick the Location: Choose an RV park or campground you love, or one you've been wanting to explore. This location serves as the foundation for your gathering.
Determine Group Size
Keep it Intimate: Informal gatherings thrive with flexibility and a smaller size. Decide on the number of RVs (rigs) you can comfortably host. A small "buddy coach" event of two rigs up to a maximum of 5–8 rigs is ideal for maintaining the casual, relaxed atmosphere.
Invite Participants to Join
Personal Outreach: Start by contacting members you know directly via call, text, or email to generate initial interest.

Key Distinction: Reservations and Costs
Participant Responsibility: It is essential to clearly state that all participants are fully responsible for making their own individual RV park or campsite reservations and covering their site fees. This ensures the host's organizational tasks remain minimal.
No Rally Fees: Informal gatherings are characterized by being free to attend—the host and the club do not impose or collect any "rally fees." This accessibility is a major attraction. Note: Neither the LTV company nor the WS club provides any financial sponsorship for these types of gatherings..
Plan Enjoyable (but Flexible) Activities
While the event is informal, a few suggested activities can enrich the experience without a rigid schedule:
Social Hours: Schedule casual "happy hours" for members to gather, share their favourite drinks and snacks, and enjoy conversation and camaraderie.
Potluck Meals: Organize a potluck dinner. This is an excellent way to share great food and enjoy a communal meal without the cooking burden falling on a single person.
Optional Group Outings:
Based on your location, suggest an optional group activity such as a local hike, visiting a nearby attraction, an evening game night, or a shared campfire. The key is to keep participation optional.fun!
