How to create your account and book your flight on Flightfox
Hello group flight travelers! It is now time to book your group flights for the summer of 2025. There are THREE easy steps to book your group flight this year. Please read all details under each step to understand the full process. All information you need to book your flight is written out for you below. You have two important due dates to keep in mind: you must create an account with Flightfox by a certain date AND your final payment deadline. Check out the next section for due dates on each group.
Step 1: Create your account on Flightfox (click here).
Select your program from the drop-down list. This step is important! Please be sure you’ve selected the correct program AND dates.
You must create your account to proceed to the flight itinerary and pricing.
Step 2: Review price and itinerary.
There will be a chat box on the side for you to talk to a real agent in real time!
You will also receive an email to confirm your trip request was submitted. SAVE this email. The "manage your trip" link will take you back to your itinerary and all previous chats on your itinerary. Please only use the chat feature for questions on your flight.
Step 3: Confirm and pay for your trip.
You will receive a notification email within 24 hours to confirm your trip details (make sure you selected the correct program and your name matches your passport exactly).
Once you confirm, you will get another email with a link to put your credit card information in.
Don't forget to book your travel to and from the group flight. Directions and suggestions below under "Booking Domestic Travel."
The group flight is mandatory for students that live in the US. Those that fly off the group flight and live in the US are subject to a solo flyer AND a solo transportation fee. Your flights must be approved by the admissions team and you will be invoiced for your fees once confirmed. You can review all solo flyer and transportation fees here. Students who live outside the US or who are combining multiple Loop Abroad programs should contact Loop Abroad (admissions@loopabroad.com) directly about flight arrangements.
Due dates for creating your account and making final payments
FAQ
What if my exact dates aren't listed? Dates are subject to 1-2 days for traveling. We do our best to guestimate the travel time every year but it depends on the timezone of the airport (LAX vs JFK for example) among other factors. Your time on your program does not change- it has always been arriving on Sunday and departing on Saturday.
When will my card be charged? Once you confirm your flight via chat with the agent on your Flightfox account.
How do I get my ticket? How do I know if my purchase went through? As soon as your flights are confirmed, your Flightflox expert will confirm the booking is complete in your Flightfox trip account and you will receive an email. You will receive an email with the confirmation within 24 hours max (usually closer to 1 hour). The confirmation number includes 6 numbers or letters and is all you need to check-in to your flight.
Can I choose my seat? No, you cannot choose seats on a group flight reservation.
Will the price change? No, group flight prices stay the same if you purchase from the link today or on your due date (see chart).
Do I need to have my passport before I can book my flight? No, you can book your flight without your passport in your hand. You will need your passport prior to travel, of course! You are still responsible for entering your information EXACTLY how it appears on your passport. The booking name and passport name need to match. If they do not match, you will not be able to board the flight.
Travel Day
Traveling as a group means students are there to help one another, and have Loop Abroad’s support should any problems arise. If the flight departs from the US in the morning, Loop Abroad staff will be available from 3pm the day before departure to help arriving students meet with the group. If the flight departs in the afternoon or evening, Loop Abroad staff will be available at the airport from six hours prior to the group flight to help students. Staff will remain at the airport until everyone on the group flight is checked in and boarded and the group flight has taken off. Students will be given a procedure to follow at any and all layovers and upon arriving in the country, and once through baggage claim, will be met by Loop Abroad staff. We will collect your passport and store it safely for the duration of your trip.
There may or may not be a staff member on the flight, but there will be staff at both the departure and arrival airports as described above.
Two days prior to departure, you will receive additional information about airport arrangements and emergency contact numbers. Please read this information carefully as it may answer any additional questions you have about your travel.
Booking Domestic Flight
Group flight tickets are round trip airfare from the predetermined airport. You will still need to book your transportation to the airport to meet the group. We highly discourage students from booking with Spirit or Frontier airlines. These airlines have limited flights and are often canceled / severely delayed. If you miss the group flight, you are responsible for any fees that may arise from your solo travel and transportation.
If you are not located near the departure airport in the US, you may be traveling alone on a domestic flight at either end of the trip. You are responsible for making arrangements to get to and from our departure and arrival airport, but please feel free to ask for our help. Please allow sufficient time for connections for your domestic flight. Please allow a minimum of 4 hours of connecting time. You will clear US Customs and Immigration upon return to the states, prior to any connecting flight. If you think you will be late to the airport, please follow the directions in the Travel Day Plan, which you’ll receive two days before travel.
It is important that you arrive at the airport on time. You should schedule your inbound flight so that if you miss it or if it is canceled or delayed, the next scheduled flight on that airline would still get you to the airport on time. It is a good idea to check with your airline for on-time percentages and choose your flight accordingly.
If you miss the departure of the group flight for any reason, including weather or flight delays, the group will depart without you. Flightfox will do their best to help you make new travel arrangements through your trip page on their platform, but you may not have staff at the airport and we cannot guarantee that the airline will rebook you on a future flight.
