Welcome to your ultimate CAMPDOC GUIDE! This guide will give you all the answers to your CampDoc questions and help you easily finish all of your CampDoc forms without any mistakes. Some of the forms may not be in your CampDoc profile as the forms vary by program & location. The forms that students have commonly had issues with in the past are laid out below, but if you have any further questions about these or any other forms in CampDoc, you can email admissions@celabelize.com.
Late Fees: For summer programs, your CampDoc forms need to be 100% complete without any errors before April 1st. If they are late or the wrong documents are uploaded, you may be charged a fee. If your forms are two weeks late, then there is a $100 late fee and forms later than two weeks will be charged a $100 late fee. If your forms are 30 days late, it is considered a cancellation in writing. PLEASE complete these on time.
Important notes:
If you have any changes to make in CampDoc within one month of travel (such as , you must send your new information directly to admissions@celabelize.com AS WELL AS update your CampDoc profile.
Priority checklist:
If you have a passport, check the expiration date. If it expires within 6 months of travel, you will need to reapply for a new passport if you are traveling abroad to any country. This is NOT a CELA Belize rule. This is an airline rule. You are risking the airline turning you away to board the plane if you do not have a valid passport for 6 months past your return date.
If you do not have a passport, apply NOW at your local passport office and get an emergency passport if needed. If you do not have a passport, you can't travel without it. Participants are not eligible for a refund for passports not arriving on time or are lost or damaged. Reported waiting times for passport renewal and new passport applications are much longer than usual in the US. For residents of other countries, please contact your local passport office for up to date passport application information and processing times. We are happy to help you through the process at admissions@celabelize.com but participants are solely responsible for their passport application.
If you have already applied for a passport but it has not arrived within 2 weeks of your departure date, we suggest booking an appointment for an emergency passport at your local passport office if you are within 2 weeks of travel. This will cost you another fee, but if you wait until the last minute to schedule your appointment with the passport office, you might not get an appointment as they may be fully booked and you may not be able to travel. For US Citizens that have applied for their passport and have to received it before their trip, please follow the passport office guidelines given, here is an example, this may vary from state to state.
US Citizens: Passport cards are NOT permitted for international travel.
If you have any allergy, this is where to put it! We need to know what your allergies are to keep you safe while you are on your trip with us. We may need more details depending on the allergy. If you have an allergy that comes from an unknown source, is anaphylactic or is tricky to manage in any way, we may reach out to you for more details, such as; what are your triggers, is it airborne, what was your worst reaction and when, etc. If there is an allergy on your medical form, but not in CampDoc, we will also reach out to you to confirm your allergens so please make sure these both match!
If you are at anaphylactic risk and are prescribed an epipen you are required to bring it! *Belize does not have ANY epi pens available*
If you have special dietary requests or requirements (vegetarian, vegan, etc), please include this information in your forms. Eating new foods is part of the fun of travel, but staying nourished and healthy is hugely important. If you have any history of eating disorders, problems with foreign or new foods, dietary restrictions by choice or by medical advice, or food allergies or sensitivities, please let us know in advance of your trip. Otherwise food options may be extremely limited.
Your medical form can be found on your profile and must be signed & dated by a physician. You do not need to visit your PCP at home. Book an appointment with any doctor! You can go to your on campus clinic, urgent care clinic (walk-in doctor) or travel clinic! Most campuses offer what they call a "camp physical" for things like this (forms for summer camp) and can fill out our form. The form MUST BE a CELA Belize medical form, we cannot accept a school physical or Kaiser physical.
Once you have a signed and dated CELA Belize medical form- Great! Upload ALL THREE pages with a clear photo or scanned document to your CampDoc. Not uploading all three legible pages could result in late fees.
CELA Belize Alumni: Your medical form must be dated within one year of the end of your current program. If your current one is out of date, it is invalid and you will need to get a new one.
When entering your flight information please put your arrival and departure information to the program location. CELA Belize will use this information to coordinate student pick-ups, please be sure you are entering the correct information.
We DO NOT need your departure from your home country or ANY layovers. We ONLY need your arrival and departure flight to your PROGRAM COUNTRY.
