There are lots of great ways to communicate and share other than email, but you have to pick the one that works best for your department. Here are a few examples that we have had success with!

You can always share personal folders in your personal Google drive, but a shared drive is not owned by any individual and can be assigned to google groups. Even if members leave, the files stay exactly where they are so your team can continue to share information and get work done. It's a nice way to stay organized and eliminates the need to go looking for that email attachment or map to your H drive.
