Recruitment Privacy Policy

At kumu, we are committed to respecting your privacy and protecting your personal data. We will only process your information in accordance with your expectations and with our obligations under the applicable law.


This Privacy Notice explains the type of personal data we process, why we are processing it and how that processing may affect you. It applies to ALL individuals who are applying to work for us. We have a separate Privacy Notice that applies to our current and former employees.


This Privacy Notice does not form part of any contract of employment you might enter into with us and does not create contractual rights or obligations.


This Privacy Policy was last changed on August 23, 2021. It may be amended by us at any time.

What information does kumu collect, and why does it collect data?

We will process various personal data about you in order to

  • Assess your suitability for the role you have applied for, as well as for future roles that may become available;

  • Carry out background and reference checks and internal investigations.

  • Communicate to you concerning our processes (e.g e-mails, phone calls, SMS messages) including facilitating recruitment processes

  • Keep records related to our hiring processes and improve our recruitment process

  • Prepare an offer, if your application is successful

  • Ensure compliance with our legal obligations


The main categories of personal data we will process are:

  • The information you provided to us from your application up to your pre-employment during the interview and other recruiting exercises

  • The information provided on your CV or application forms about your work experience and qualifications and about your reasons for applying for the role, current salary and salary expectations, and your location.

  • The information we obtain from your references, previous employers or other third parties such as employment agencies, vendors and online job and professional networks.

  • The information is publicly available about you such as your profile on professional social media websites (e.g LinkedIn).


In limited circumstances, the information we collect might include sensitive personal data, such as information about your health, disabilities or criminal records or offences. We will treat any personal information considered sensitive under applicable law in accordance with that applicable law.


If you fail to provide any necessary and relevant information we requested, we may not be able to process your application successfully.


Our lawful basis of processing your personal data:

  • Our legitimate business interest in assessing your application to manage our relationship with you, to ensure that we recruit the right candidates, and to improve our recruiting process more generally;

  • Our pre-contractual measures with respect to our potential employment relationship with you;

  • Our compliance with applicable law to satisfy our legal or regulatory obligations;

  • Your consent, for participation in our optional recruiting programs or for collection of sensitive personal data, to the extent permitted by applicable law.

How does kumu use your personal data?

Recruitment

Should you opt to subscribe to emails about job opportunities at Kumu, we will use your contact information to update you through our email application program. You can unsubscribe by following instructions contained within our email notifications..


Shortlisting

Our hiring managers shortlist applications for interview. We’ll use the information you provide to assess your suitability for the role. We’ll use the contact details you give us to contact you to progress your application.


Assessment

We may ask you to complete tests or profile questionnaires; attend an interview; or a combination of these.


If you are unsuccessful after assessment for the role, we may ask if you would like to join our optional recruitment programs to proactively contact you should any further suitable vacancies arise.


Conditional offer

If we make a conditional offer of employment, we’ll ask you to provide more information so that we can carry out pre-employment checks. You must successfully complete pre-employment checks to progress to a final offer.


This process may include (but not limited to)

  • Contacting your referees, using the details you provide in your application, directly to obtain references

  • Complete a questionnaire about your health to establish your fitness to work.

  • Completing a declaration on your secondary employment, businesses or government positions. Our policies requires all individuals to declare if they have any potential conflicts of interest, or if they are active in governmental functions

  • A background check which may be conducted by a third party

  • Where requested by you, we will use this information to assist you with obtaining an immigrant visa or work permit, if required.


The information collected and processed will be held on your personnel file.


Final Offer

If we make a final offer, we’ll also ask you for the following:

  • Bank details – to process salary payments

  • Bmergency contact details – so we know who to contact in case you have an emergency at work

  • Government IDs (e.g SSS, TIN, PAGIBIG, PhilHealth)– so we can process government contributions

How long will kumu keep your information?

We will not keep your information forever. We will only have it for as long as it helps us to do our job. We have a policy that tells us when and how to keep it and when and how to delete or destroy it.


We will retain your personal data based on this schedule or the period you’ve agreed with us.

Will kumu share your information? Is your information protected at kumu?

We will not share your information with anyone else without your permission, unless:

  • The law says we can or we should.

  • It is necessary to enable our recruitment. In this case, we might share your information with selected processors. Please contact our recruitment team hrd@kumu.ph to learn more about this.


We will not share any of the information you provide with any third parties for marketing purposes.

We use generally accepted standards of technical and operational security to protect personal data. Only authorized personnel and third-party service providers are permitted to access your personal data. For processing carried out by third party, we implement controls to ensure they process it in accordance with our instructions and the requirements of the law.

What are your rights?

As a data subject, you have the right to


  • Ask us and be informed of how we use your information

  • Request us to update the information we have about you if the information we held on you is incorrect or out of date (Modification)

  • Request a copy of the personal data that we hold about you and details of how we use that information(Access).

  • Request us to provide you an electronic copy of information you provided electronically (Data Portability).

  • Request us to remove information in some circumstances (Deletion)

  • Request us to only use information in certain ways and stop us from processing your information to the extent our processing relies on your consent as the lawful basis for processing. This right may not apply if there are other legal justifications to continue processing or we need to retain certain personal data where required or permitted under applicable law (Object)

  • File a complaint to regulatory agencies and bodies

To protect your privacy and implement security, we will take reasonable steps to verify your identity before granting your request. We reserve the right to charge an appropriate fee for complying with your request where allowed by applicable law. In some circumstances where your requests are unfounded, excessive, or otherwise unacceptable under applicable law, we may deny your requests and inform you about it.
