Cancellation Policy

In the case of a schools’ cancellation of attending an event, we will first endeavour to fill your school’s slot from the waiting list. If this is not possible, please be aware that cancellation charges will apply as laid out below.  

Please note that any deposits already made by Kolej Tuanku Ja'afar that we cannot recoup will be deducted from the totals below. This includes but is not limited to transportation, presenter costs, food and accommodation.

The payment schedule is as follows: 

• 100% of the total cost to be paid by 30th November. 

• 50% of the total cost will be refunded for cancellations before 15th December. 

• Cancellations after 15th December will not receive a refund. 

Student Cancellation

If a student is unable to attend due to contracting an illness, including COVID 19, prior to the event, the guest school may fill the vacant spot with another student. If the spot is not filled by the visiting school, Kolej Tuanku Ja'afar will not be able to adjust costing, and the school will be accountable for payment for that student. 

Event Cancellation

The event will only be cancelled by what would qualify as a ‘Force Majeure'. This would include (but is not limited to) borders closing, major storms, a political uprising, etc. In this instance, Kolej Tuanku Ja'afar would fully reimburse visiting schools for any cost that has not already been paid out and is non-refundable from the providing external agencies. 

It is recommended that all visiting schools take out a travel insurance policy for this trip.
