What is a vendor?
A vendor is a business that can provide products or services for Heartland families.
What is the difference between a product and a service vendor?
A product vendor provides products with no interaction with the students. A service vendor has live interaction (either virtually or in-person) with the students.
Is there an approval process that vendors have to go through?
Heartland can order from many product websites without going through an approval process with the vendor, but vendors that provide services must go through an onboarding process before our students can receive those services.
What type of service vendors do you allow?
We love being able to offer our students a wide range of educational and enrichment opportunities, so there are many services that we will allow. If you feel that your business would be a great fit for our students, we'd love to hear from you. Please feel free to fill out our application.
What documents do you require during the vendor onboarding process?
All service vendors are required to submit several items through the onboarding process. Please visit here to learn all the details.
Can any business apply to be a service vendor?
We require the business to be located in one of our staffed counties (Kern, Tulare, Kings, Inyo, San Luis Obispo, Santa Barbara) or, if the business is located outside of these counties, you must have substantial interest from Heartland students in order to become a vendor. Our Heartland students can put in a request for this business and then we can accept that application then.
I'm a virtual service vendor and I only have 1 student. Do I still have to submit all the required documents?
Yes. All service vendors, no matter their mode of delivery or the number of Heartland students, have the same requirements. Please see the "Become a Vendor" page for the details.
How do we bill for services?
We encourage all vendors to submit their invoices via the Heartland Charter School Vendor Invoice Submission Survey, however, AP@heartlandcharterschool.com will also be available for invoice submission in the event that the survey is not an option for your business.
How do we promote our services to Heartland families?
Heartland must remain impartial so we cannot do any promotions for our vendors, however, there are ways that you can promote your business to our families on your own. Please send an email to vendors@heartlandcharterschool.com for more details.
How can I update my business' contact information?
We want to make sure that all of our records are updated and accurate. If you are changing your mailing address, we will need an updated W-9. You can email that to us, along with any other contact information changes to vendors@heartlandcharterschool.com
How can I update the services that we currently have available for Heartland students?
Heartland students can ONLY place orders for services/rates that are in our Heartland ordering catalog. We need to make sure these are always updated. You do this on your Live Detailed List of Services. This link was sent to you in your annual Vendor Agreement and Welcome email. The link stays the same. If you don't have this link, please send vendors@heartlandcharterschool.com an email requesting a link which will also come with instructions for making any updates you may need.
