The Office of Information Technology and Learning Experience (OITLE) provides desk phones, softphones, call and video calling, conferencing, Zoom Team Chat & Presence features, voicemail, unified messaging, and headset devices for HACC employees. OITLE services include the moves and support of all phones.
Desk phones will be provided but not limited to the following criteria:
Multi-line phones, with some exceptions.
Office bays - as an emergency option.
HACC Security department - due to special notification purposes.
Special circumstances - where a physical desk phone might be required.
Zoom App is an application that is part of the college’s standard image that is on all admin desktops and laptops. It provides voice, video, conferencing, and screen-sharing capabilities. Employees can download the Zoom app on their iPhone, iPad, or Android mobile devices for mobile access.
Depending on the employee's license, phone service is provided.
Zoom phone operates by utilizing the computer sound card; or with a wireless or USB headset (with built-in mic), or wireless\USB speakerphone.
o No panic button [Solution: Download the personal safety app, InformaCast, to alert HACC safety and security personnel.]
o No speed dials. [Solution: Click the Zoom phone icon, "Enter a name or number..." to find the person you would like to reach.]
o No visual message waiting indicator. [Solution: voicemail and recent calls are visual through the Zoom application.]
Full-time employees are assigned a Direct-In-Dial (DID) number; Zoom Team Chat and Presence features.
Part-time employees are assigned an internal extension, Zoom Team Chat and Presence features.
Adjunct instructors can receive an internal extension that begins with the prefix 71xxxx; Zoom Team Chat and Presence features.
Service providers are assigned Zoom Team Chat, and Presence features only with a System Access Request Form.
Note: Adjunct instructors may request a Zoom phone license per teaching semester. However, headsets will not be issued. All adjunct softphone profiles will be removed by the end of each semester.
Download the Zoom phone app from the Apple Store for iOS devices or the Google Play Store for Android devices.
The voicemail system can send audio copies of voicemail messages automatically to your email inbox. These voicemail messages can be played directly from your email.
Multiple greetings will continue to be available.
HACC will supply an initial model headset.
OITLE will assist with the order and installation of the chosen device.
Depending on your desk phone model, a series of headset styles are available for purchase.
A series of USB or wireless headsets or speakerphone are available to choose from.
Other Options: Opt-out to buy a headset if the laptop or PC audio card suffices your needs.
OITLE recommends using an approved device, but employees may opt to use their own personal device. Personal devices remain the responsibility of the individual. HACC is not responsible for these devices, or their compatibility with our systems.
If a person requires something more (devices not on the recommended list and/or speakerphones) it will be up to their department to fund this option.

OITLE will follow a life cycle management of 4 years for the headset replacement.
Loss or damages resulting from carelessness or mishandling of the audio devices will be evaluated on a case-by-case basis. Replacements of this nature will be purchased by OITLE and charged to the employees' department.
Headphones for separated employees should be returned to OITLE for evaluation and, if possible, repurposed. Headsets will only be repurposed after they have been cleaned and the earpads replaced.
Employees who transfer to another campus\department will take their existing headset with them.
Each local Campus IT will track and inventory headsets; and, troubleshoot device problems.
All headsets should be returned to OITLE. OITLE will determine the best way to dispose of the headsets, based on condition, composition and available options. Whenever possible, headset disposal will be handled in the most environmentally friendly manner possible.
Keep your headset clean by using disinfectant wipes, or damp paper towels.
When not in use, carefully wrap the cable and put it away.

The Telecommunications team will conduct an ongoing audit at the end of each semester to remove adjunct instructors to procure licenses.
