I know I said I’d send something out about FORMS this week, but you’ll have to wait until next week because I just added Team Drives to your G-Suite accounts and wanted to give you some information about them in case you were wondering!!
Something NEW from Google!! Imagine that! Thanks Rhonda Wenum for bringing this to my attention!!
Just know, I don’t have all the answers on this one, but if you have a question, please ask and I’ll try and get you an answer! Some of this information may not be accurate, but after reading and looking at various articles, this is my best attempt!
You may want to use Team Drives if your team creates a lot of documents for the good of the team. This way, if someone leaves, it’s not a big deal. You’ll just remove a member and add another as needed. Also, you won’t have to wade through your ‘shared with me’ folder to find the team documents!
You can create your own team drives. You will also be able to share with people outside of our organization. At this time, the team drives are only available for G-Suite users so even though they can be a part of this team, they will not be able to add members or add a team drive. When they move a file to this team drive, that file is no longer theirs and is considered part of the gunnisonschools domain. If that outside person wishes to keep a file in his/her drive, he/she may want to make a copy to the team drive, but then it becomes a totally different file and any changes made on the original or the copy, won’t transfer to the other. This is also true of your G-Suite documents that you may move to the team drive. They are no longer in your drive, but only part of the team drive unless you make a copy! Again, remember copies aren’t updated if you update the original in the team drive (or any copy for that matter).
Also, at this time, you will not be able to move folders to your team drive - only files. However, if you want folders moved, please make me a part of your team folder and also give me edit access to the folders you want moved. Then let me know and I can move them for you. Once they are moved, you can remove the sharing privileges for me.
Students should not be able to create teams at this time. After January 1, 2018, they will be able to create their own teams. They can access team drives if you’ve invited them. However, you can create teams for students and add them to the team right now. Or, let me know and I can create the teams for you if you have a need for this. This might be helpful if students are in a class such as SLC and need files related to this class. These files can then remain in this team drive folder and can be accessed by others in later years. It may also be helpful if students are working on a long term research project and need files for their team. You may want to warn students that as an administrator, I can see all team drives and the members within their teams. They should only use team drives for projects relating to school activity.
A Team Drive is a shared space where:
If you can't use Team Drives, contact your administrator. (That’s me!)
Anyone in your organization can create a Team Drive. If you can't use Team Drives, contact your administrator. (That’s me again!!)
Here’s a VIDEO on how to create your own team drive!
And don’t forget, all the Tech Tuesdays are stored on these two websites! Both have the same information.
