Inventory Process
Click on the inventory document.
Click on the worksheet at the bottom for your school.
Either scroll down to your room, sort, or use a SLICER(Go to DATA tab, click Add SLICER and then select ROOM in the column dropdown on the right. On the black slicer make sure that your room number is the only one selected)
Go to the far right and select how you identify the item
Once you finish make sure to fill out any forms that are required for our state audit and send to myself (kimberly.sheppard@gscs.org) and Amy King (Amy.King@gscs.org).
Finally, Fill out the Google form stating that you verify that the inventory is complete

Internal Policy & Procedures
Timeline:
August (Week 1) - Fall Inventory - Complete a final clean up of items (i.e. Inventory Surplus and Transfers).
May (Week 2) - Spring Inventory - Complete a final clean up of items (i.e. Inventory Surplus and Transfers).
May (Week 3) - Inventory Statements are due.
Barcoded Items:
Items with $100 or more value are to be barcoded. Situations where barcodes are not possible add a 8-digit number affixed to the item with a permanent marker
Bulk items with a combination value of over $100 AND each individual item value over $50 will be barcoded as a set and maintained in a system that will accommodate the items, i.e. container, wall mounted system, etc.
All CTAE Items:
Must have a “CTAE” identifier with a barcode or permanent marker.
Inventory Dates
Inventory for Career, Technical & Agricultural Education will occur twice per year as required by Perkins V and will take place in the month of August and April.
Status designations are as follows:
Verified- these items are for all equipment that is in working condition and/or operational and can be physically identified by the teacher.
Missing - automatically shows as “accounted for items,” these items cannot be located and must be designated as such and are held on inventory for one year prior to removal.
Retired -These items have been disposed of but have not been deleted.
Broken: Any item that no longer works and we are unable to fix or have fixed.
Missing:
If an item is lost, the teachers must report it immediately to the GSCS CTAE Director and report it as lost during the next district inventory count.
Perkins items lost, or stolen, have to be replaced with non-Perkins funds from the school. If stolen, there must be a police report.
Retired: Any item that has been disposed of but has not been deleted will be considered retired. Retired items will be removed from the inventory after grant timeline requirements are exhausted (Usually 5 years). To retire an item from your room a “Surplus Form” must be completed and obtain approval from the CTAE Department Chair and CTAE Director. .
Transfer: Any item that is usable, but is not used for classroom instruction in its current location may be transferred by completing the “Transfer Form” and getting approval from the CTAE Department Chair and CTAE Director.
Replacement of Inventory Items: Career, Technical & Agricultural Education programs use various sources of funding for instructional equipment. Therefore, replacement of equipment is as follows:
Perkins Funded Equipment
All equipment funded by Perkins must be in inventory and in usable condition for 5 years. Lost or broken equipment must be replaced by the school.
