Conference production is more demanding than most event types because every room is a stage. A single faulty microphone or a video feed that fails to load is visible to a whole track, so production planning needs to reach every room, not only the plenary.
Agree a standard kit for each breakout room: lectern, microphones, screen and presenter laptop.
Plan the plenary separately, with stage lighting, camera feeds and a confidence monitor.
Decide whether sessions will be recorded or streamed, and route signals accordingly.
Write a run-of-show that lists every AV cue for every room.
Test all presentations, video playback and microphone setups during a full technical rehearsal. Rehearse the keynote walk-on and any panel changeovers in the main hall, and check that remote presenters can be heard clearly.
Convention centres handle heavy deliveries routinely, with dedicated loading docks, but bays still need to be booked. Confirm loading windows, the route from dock to hall and how long you have for setup and teardown. Some halls are pillar-free and others have structural columns, so check the specific floor plan against your stage and sightlines.
With several halls, many suppliers and a venue operations team all involved, one coordinator should own decisions on the day. Introduce that person to the venue duty manager before doors open and share a single contact sheet with every supplier.
Get Out! Events brings its own AV, staging and lighting equipment to venues such as Suntec, coordinates with the venue on logistics and loading, and manages the event on the day. Read more in Get Out! Events' Suntec conference planning page.
Noise guidelines, late-running arrangements and setup periods vary by hall, so confirm current details with the venue before finalising your plan.
