Universities are working environments with classes, exams and their own events calendar. A corporate exhibition has to fit around that rhythm, and the logistics need more coordination than at a commercial venue.
Engage the university's venue or events office early. Ask which spaces can host exhibitions, what approvals are needed and whether there are rules on branding, promotion, food or recruitment activity on campus. Requirements can change, so check current rules with the university before confirming plans with exhibitors.
Avoid exam periods and major campus events.
Align opening hours with student timetables if students are your audience.
Check when setup and teardown can take place without disrupting classes.
Confirm the loading path and the times suppliers can bring equipment in.
Check lift sizes and door widths for large displays.
Plan where vehicles can stop and for how long.
Share parking and drop-off guidance with exhibitors and visitors.
Confirm ceiling height, power points, AV restrictions and whether external suppliers may bring their own equipment. Ask about sound limits, since nearby rooms may be in use for teaching.
The campus is close to several MRT stations and is easy to reach from the city. Include clear directions to the specific building and room, as campuses can be confusing for first-time visitors. Use signage from the main entrances.
When comparing proposals, separate venue, booth build, catering, production, manpower and contingency so stakeholders can see where trade-offs lie.
