Hotel ballrooms are built for events, but the production plan still needs careful coordination. Screens, lighting, sound, stage placement, band needs, DJ setup and photo moments must work with the hotel's own operations. Early alignment prevents last-minute compromises.
Where should the stage sit for the best sightlines?
How will guests move from reception to dinner seating?
Where can photo moments be placed without blocking traffic?
What AV elements are in-house, and what should be supplied separately?
Where can performers, speakers and crew wait before cues?
If the evening uses opening videos, award slides or sponsor loops, collect them early and test them in the correct format. The creative should be readable from the back of the room and should support the tone of the evening. Avoid overloaded slides during awards, where names and recognition should be clear.
On event day, give suppliers one point of contact for decisions. The internal organiser should not be pulled between dinner service, VIP requests, emcee questions and technical cues. A shared run sheet with cue owners keeps the room calm.
