Many Christmas party venues in Singapore can be booked with a simple package. A national gallery is not one of them. A little extra preparation keeps the evening smooth and the venue team on side.
Which spaces can host dining, and which can host only a standing reception?
Are food and drink permitted near artworks, and where must service stop?
What décor, flowers, candles and effects are allowed?
How is catering arranged, and are external caterers permitted?
What are the setup and teardown windows, and when can you rehearse?
Where are the loading points, and how must equipment travel through the building?
Answers can change and may differ between spaces, so check current details with the venue in writing.
Large buildings with several entrances can confuse guests. Choose one arrival point, mark it in the invitation and station ushers there. Plan a holding area where early arrivals can wait comfortably while the main space is finalised.
Confirm lift access and accessible routes to your event space. If any guests use wheelchairs or have limited mobility, plan seating close to exits and restrooms.
Decide early whether you need a stage, screens and branded backdrops. In a heritage building, freestanding structures are usually expected. Check sightlines so screens do not block the architecture.
If any part of the party takes place outdoors, such as a terrace reception, agree a wet weather plan with a clear trigger time. Share MRT, taxi and parking guidance in advance, and arrange transport for guests leaving late.
Keep one printed run sheet with every supplier contact. Appoint a single decision-maker and introduce them to the venue's duty manager. After the party, gather feedback quickly while memories are fresh.
