An exhibition succeeds when many small operating decisions line up. Booth builders, AV suppliers, registration staff, exhibitors, venue contacts, emcees, photographers and internal stakeholders may all need answers during setup and show hours. Without a clear operating structure, the organiser becomes the bottleneck for every question.
The run sheet should cover setup, exhibitor arrival, registration opening, floor checks, speaker sessions, demonstrations, meal or refreshment timings, VIP movements and teardown. It should name decision owners, not just activities. If a booth needs more power, a sign is wrong or a guest queue forms, staff should know who can act.
What they may bring and when setup can happen.
How deliveries and loading should be coordinated.
Where staff badges or credentials are collected.
What branding, sound or display limits apply.
Who to contact for urgent venue or production issues.
Registration should be designed as part of the exhibition, not a separate desk. Badge rules, visitor categories, exhibitor passes, VIP handling and walk-in decisions all affect the first impression. If attendee information is needed after the event, agree the reporting handover before the show opens.
