The first challenge in a logistics event is not theme or entertainment. It is attendance. Operations continue while the event is being planned, and many employees cannot simply leave a shift because a celebration has been scheduled. Treat scheduling as a design problem from the beginning.
Which teams cannot be away at the same time?
Which sites need transport support?
Which periods are operationally sensitive?
Can the event be repeated, staggered or split into sessions?
Who approves attendance from each department?
If one group always receives the least convenient slot, the event can create resentment instead of appreciation. Consider rotating session times, providing the same core experience across groups or choosing a neutral off-site location where teams arrive on equal terms.
Companies with teams based across industrial, airport, port or warehouse areas should plan transport early. Confirm pick-up points, arrival windows and who checks attendance. A simple arrival plan reduces stress for workers who may not be familiar with the event venue.
Some guests may arrive directly after a shift, while others may need to leave promptly. Place the main welcome, meal and recognition moments where most guests can share them. Optional activities can sit around the edges of the programme.
