The room shapes the programme as much as the activity does. A format that works brilliantly in a large ballroom may feel cramped in a meeting room, and a quiet craft session can get lost in a cavernous hall.
Your own office: convenient, familiar and no travel. Check that you can clear the space and keep noise from disturbing others.
Hotel function rooms: easy to combine with a meal, with AV and service on hand.
Event or co-working spaces: flexible layouts and a change of scene from the office.
Specialist venues: kitchens for cook-offs, studios for pottery or art.
Is there enough floor space for teams to move between stations?
Can tables be rearranged, and who does it?
Where are power points and is there reliable internet?
What are the sound limits, and are there neighbours to consider?
How long is the setup and teardown window?
Is the room step-free, with accessible toilets nearby?
Give each team its own base table. Keep a clear central area for briefings and results. Place stations so teams can move between them without crossing through other groups. Put the scoreboard or screen where everyone can see it.
For very large groups, split into parallel streams running in different rooms or zones, then bring everyone together for the finale. This avoids long waits and keeps everyone involved.
If you run the session in the office, plan around building access, lift use and security for any outside crew. Tell building management early.
