Before anyone opens a design tool, write down how each kind of guest should move through the RSVP process. Discovery, not page design, is the right starting point.
A corporate table host, an individual VIP, a sponsor representative and a staff member may each need different questions or confirmation paths. List every category, where their invitation comes from, who approves them and what information you need from them before the night.
A typical guest receives a personalised invitation, opens the site, confirms attendance, gives the required details and receives an acknowledgement. Others may decline, nominate a replacement or need manual help. Agree in advance how the system should handle:
Duplicate submissions from the same guest.
Expired invitations or unknown email addresses.
Incomplete responses and changes after the deadline.
Plus-ones and table allocations, and who is allowed to add them.
VIPs who need a more controlled, personal workflow.
Every path needs a defined outcome, even if that outcome is "contact the protocol team".
The website should feel like part of the gala without making the response hard work. Settle the visual direction, page order, tone, accessibility and mobile behaviour. Guests should recognise the event, understand what is being asked and finish quickly.
Prepare approved copy for event details, dress code, venue guidance, deadlines, dietary questions and support contacts. Error messages and the page shown after registration closes also need careful wording, because a confused guest usually becomes a phone call to your team.
Brand approvers naturally focus on looks. Invite the people who run registration and seating to the design discussions as well. A small interface choice, such as a free-text field instead of a list, can create hours of data cleaning later.
Get Out! Events can scope and manage this RSVP journey as part of wider gala delivery, with technical implementation supported through GO Labs where appropriate.
