Video captures faces, voices and personal comments. How you handle that content matters as much as how good it looks. Plan this part before the event, not when someone asks for a clip to be deleted.
Agree the intended use of the footage, the notice guests will see and the consent approach with your organisation and its advisers. Requirements can vary with the audience and how widely clips will be shared. Collect only the information you need; do not ask for extra personal details just because a tool allows it.
Who can access raw clips?
Where are files stored and how are they transferred?
When will files be deleted?
If guests receive clips digitally, what happens when connectivity is weak?
A rehearsal should do more than check the camera turns on. Test framing with people of different heights, audio at realistic programme volume, lighting on different clothing colours, recording limits, file creation and handover. Check branded overlays for spelling and legibility. Repeat a short test after installation at the venue, because equipment that worked in an office may behave differently beside event lighting and amplified sound.
Keep a simplified recording mode ready if an effect or connected feature fails.
Agree local storage if file transfer is interrupted.
Identify an alternative booth position if noise or traffic becomes a problem.
Set a clear point at which participation pauses rather than producing unusable clips.
A clean, well lit recording is usually better than stopping the experience because a decorative step is unavailable.
Judge proposals on how clearly they connect creative intent to a workable operating plan, not on a showreel alone. If you would like help scoping the experience as part of a wider event, talk to Get Out! Events.
