The most useful venue questions are often the least decorative. Can the supplier unload? Where does the crew wait? What happens if setup runs long? Who controls lighting changes? Where does catering stage before service? These details decide whether the event team can deliver the plan without improvising all day.
Ask the venue how equipment enters, which lifts or routes suppliers use, and when setup can begin. Confirm any booking process for loading areas and whether there are restrictions on vehicle size, noise or movement. Do not assume the guest entrance can double as a supplier route.
AV needs depend on the programme, not the venue sales deck. Check screen visibility, microphone coverage, power access, lighting control, stage placement and sound bleed from neighbouring spaces. If you are planning streaming, audience voting or live Q&A, include those requirements early so the room is assessed properly.
Who provides tables, linen, stage, screens and microphones?
Who approves floor plans and supplier schedules?
Who handles catering cues during the programme?
Who is the decision maker on event day?
Create a simple comparison sheet with the same categories for every venue: format fit, guest flow, production, food, access, backup and owner comments. A venue with one weak area may still be right if the workaround is clear. A venue with many small uncertainties will drain attention later. Get Out! Events covers venue comparison and delivery on its Singapore corporate venue planning page.
