Planning a gala at a performing arts centre is different from planning in a hotel. The venue's technical team works to theatre standards, which is a real advantage, but it also means their processes, timelines and expectations are more formal.
Share your programme, stage needs, AV list and performance requirements as early as possible. Ask what in-house technical support is available, what equipment can be brought in, and how load-in and rehearsal times are scheduled. Confirm everything in writing.
Stage layout, including podium, award table and performer positions.
Microphone list, with wireless and lectern needs.
Screen content in one agreed format, with a single owner.
Lighting states for reception, dinner, awards and performance.
A cue sheet linking every segment to sound, light and video changes.
Hold a technical rehearsal with the emcee, presenters and performers. Walk through each cue, especially award walk-ups and video playback. A professional venue will expect this and is usually well set up to support it.
Arts venues often have specific rules on décor materials, open flames, rigging, noise and access times. Check current rules directly with the venue before designing your styling or production, so nothing has to be reworked late.
Confirm catering arrangements early and share dietary requirements well ahead. Agree course timings so service does not clash with performances or speeches.
An organiser with its own AV and staging can fill gaps, but must coordinate closely with the venue's technical team so everything works as one system.
