Singapore's weather can shift quickly from bright sun to heavy rain. For any outdoor corporate event, a weather plan is not optional. It should be written down, agreed with suppliers and communicated to staff before the day.
Provide shade over all seating, not just the stage.
Have plenty of drinking water and cooling stations.
Schedule the formal programme for the cooler part of the day.
Advise staff on appropriate clothing, hats and sunscreen.
Have a first aid point and staff who can spot heat stress.
Agree a covered backup option before you book. That might be large tents, a nearby sheltered area or an indoor venue on standby. Decide in advance:
The trigger for moving to the backup, such as a forecast or lightning warning.
The time by which the decision will be made.
Who has the authority to make the call.
How staff will be told, and through which channel.
Sound, lighting and screens need covers and secure cabling. Brief your AV supplier on outdoor conditions and ask how they protect equipment from rain, wind and salty air near the sea.
Open spaces swallow sound. Use speakers positioned around the audience rather than one stack at the front, and test audibility at the back during setup. Wind noise on microphones can be reduced with proper covers.
If weather cuts the programme short, have a way to deliver the key messages anyway, such as a short recorded video or an email from leadership the same day.
