Most D&D problems on the night are technical or logistical: a microphone that cuts out, slides that do not load, or a lucky draw that stalls. A simple checklist, worked through with your venue and suppliers, prevents most of them.
Confirm how many microphones you need and whether they are wireless.
Collect all slides and videos in one format before the rehearsal.
Check that screens are visible from the back tables.
Agree lighting changes for awards, performances and the dance floor.
Hold a technical run with the emcee, performers and anyone presenting. Walk through every cue, especially entrances, award walk-ups and video playback. A short rehearsal saves long pauses.
Registration flow, name lists and table plans.
Dietary requirements shared with the venue well ahead.
Transport and parking information in the invitation.
A clear point of contact for guests who arrive late or need help.
Decide how entries are collected and how winners are drawn. Prepare prizes on a table near the stage and have someone ready to hand them over. Have a backup plan if the method you choose fails.
Keep a printed run sheet with every supplier's contact. Assign one person to make decisions so nobody waits for approvals. After the event, gather feedback while it is fresh and note what to keep for next year.
