CSR team building needs one more layer of planning than a standard team event: the community partner. Their needs come first, and their calendar often sets your timeline.
Lead time: allow at least four to six weeks for partner coordination. Large groups or high-demand partners need longer.
Festive periods: many organisations see heavy corporate demand from November to January. Book earlier if your date falls then.
Brief: ask what the partner actually needs, what participants should and should not do, and whether photography is allowed.
Status checks: if a donation is part of the programme, confirm the organisation's charity or IPC status directly with them before you give.
For charity builds, materials are usually provided by the partner or sourced by your event company. For care packs and hampers, items need to be procured and delivered in advance. For cleanups, gloves, bags and grabbers are normally supplied, but confirm this in writing.
Arrival and registration, with a short safety and context briefing from the partner.
Team allocation and role assignment so every person has something meaningful to do.
The activity itself, with a facilitator watching pace and energy.
Handover of output to the partner.
A structured debrief of 20 to 30 minutes (see Measuring Impact).
Avoid treating the people you are serving as a backdrop. Brief participants on the community context, keep photos respectful and only use images the partner has approved.
Some companies pair a CSR afternoon with a dinner or celebration. If you are considering that, plan the transition time and change of setting early. Get Out! Events covers combined programmes on its CSR team building planning page.
