Even with a full-service organiser, the client team still has a role on the day. Agreeing that split in advance prevents the most common event-day friction: two people giving suppliers different instructions, or nobody being sure who can approve a change.
Setting up the venue and checking every supplier has arrived.
Running the technical rehearsal with the emcee and presenters.
Calling cues for sound, lighting, video and stage entrances.
Managing guest flow, queues and registration.
Handling problems in real time and keeping the programme on schedule.
Teardown and returning the venue in good order.
One named decision maker who can approve changes on the spot.
Looking after leadership, VIPs and speakers.
Confirming award winners, names and any last-minute updates.
Hosting guests and representing the company.
Write down who the organiser should call for each kind of decision: programme timing, guest issues, spending on unplanned items, and safety. Share the list with everyone involved and keep it on the printed run sheet.
Confirm the final run sheet, supplier arrival times, contact list, wet-weather decision point and guest communications. Hold a short call with the project lead to walk through the day from setup to teardown. This is usually where small misunderstandings surface while there is still time to fix them.
Ask for a debrief and collect guest feedback while it is fresh. Note what worked, what to change and which suppliers you would use again. That record makes next year's event faster to plan.
