Retail spaces, malls and supermarkets each have their own rules. Getting them right before production starts avoids last-minute redesigns and awkward conversations with venue managers.
Booth size and exact location.
Loading access and setup windows.
Power supply and where it can be drawn.
Storage for stock and promoter belongings.
Noise limits for music or microphones.
Cleaning and waste disposal arrangements.
Operating hours and teardown times.
Any approvals needed for food handling or sampling.
Rules vary by venue and can change, so confirm current requirements directly with each venue or retailer, and check any regulatory requirements with the relevant agency.
Agree who owns stock at each stage: delivery, storage, the booth and return. Count at opening and closing, log issues, and report differences promptly.
Repeated sessions need consistency. Standardise the setup checklist, promoter briefing, consumer script, stock count, issue log and close-down process, while allowing each location to adapt to its own access and footfall. A master run sheet shows who owns each decision before the first session opens.
Booth structures, displays, screens and game mechanics need to be safe, stable and easy to set up within venue time limits. Test everything before the first day.
Assign one person per location with authority to make live decisions, and a clear escalation path back to the brand team for anything outside the plan.
