An awards ceremony runs on cues. Every name called triggers a chain of actions: music, a lighting change, a video or slide, a recipient walking up, a trophy handover and a photo. If any link in that chain is slow, the room feels it. Controlling the cues is the core of a smooth awards night.
Assign one person to own the master presentation. All slides, citation videos and walk-up music should be collected into that deck in running order, in one agreed format. Late changes go through that owner only. Multiple versions of the deck circulating by email is a common cause of the wrong name appearing on screen.
A cue sheet lists every action in order, with who triggers it. For each award, it might read: emcee announces category, slide changes, nominee video plays, emcee reads winner, walk-up music starts, follow spot finds recipient, presenter hands trophy, photo, music out. The emcee, the AV operator and the stage manager should all work from the same sheet.
Give the emcee a dedicated microphone and keep a spare ready.
Place a podium microphone for presenters and a handheld for acceptance speeches.
Agree walk-up music lengths so tracks do not end before the recipient arrives.
Plan lighting states for the announcement, the walk and the photo. A follow spot helps the room see the recipient, and good front lighting makes the photos usable.
Run a technical rehearsal with the emcee, AV operator, stage manager and, if possible, the presenters. Walk through at least one full award sequence, the opening, any video segments and the finale. Check pronunciation of every name. If recipients cannot attend rehearsal, use crew members as stand-ins to test the walk and the photo position.
Prepare a backup copy of the deck on a second device, a plan for a video that will not play, and a way for the emcee to fill time. Calm fallbacks keep the audience unaware that anything went wrong.
