Student & Parent Community Service Hours FAQ
1. Why are we not using X2VOL anymore?
Our contract with X2VOL, the platform students have historically tracked community service hours in, ended at the end of May 2024. X2VOL was housed in Naviance but is now offering services outside of that platform and is out of our budget range.
2. Where do students log hours now?
The link is now in Focus! Students should log into their Focus account, click on My Information, Service Hours and there is a link under New Service Hours.

3. Will we always use this Google Form format for logging community service hours?
No. We are in the process of working with Focus and with Naviance to develop a system for students to track hours. We’ll see who develops a tool that fits our needs best. In the meantime, we have created a Google Form with AutoCrat for students to log hours.
4. Can a student get a report of what hours they submitted in the old X2VOL system?
You can now log into your student or parent Focus account and access your X2VOL hours yourself.
For students to view this data and/or generate a PDF of their X2VOL hours simply log into your Focus account, go to ‘My Information’ and then ‘Service Hours’. To generate a pdf letter with your service hours information, select the letter from the ‘Print a Form/Letter’ drop down.

5. Can a student get a report of what hours they’ve submitted via the new Community Service Hours Google Form?
Unfortunately, there is not a built in report to run that lists the hours submitted via the new Google Form. The form is set to send the student a copy of their response. That email serves as verification of submission and includes a detail of what was submitted. Each time they submit hours the student receives an email from “Google Forms forms-receipts-noreply@google.com” with a subject line of “Community Service Hours Log”. These emails are a record of the hours they submitted. Please have the student search for that email address or subject line in order to pull up all of the confirmation emails for their records.
6. Can a student see if their hours have been verified by the event sponsor/organizer or approved by campus administration?
No. Unfortunately, there is not a built in report to run that lists the hours that have been verified or approved.
The campus administrator in charge of Community Service Hours can pull up the information and report this back to the student.

7. What if the administration reports back that my hours have not been verified by the event sponsor/organizer?
That means the event sponsor/organizer has not verified the hours yet. The student should contact the sponsor/organizer and ask them to check their email.
When a student submits an entry, it is also sent (via AutoCrat) to the activity’s organizer/sponsor, to the email address the student provided for them. The sponsor/organizer will find a link in that email to verify the student’s submission is accurate. When the activity organizer/sponsor submits their verification it will be populated into a verification/approval spreadsheet so the administrator can then approve the hours.
First, the student should verify the email address they provided for the sponsor/organizer is correct. They should look in their email for the copy of their response when they submitted the hours to see what email address they put in.
Each time they submit hours the student receives an email from “Google Forms forms-receipts-noreply@google.com” with a subject line of “Community Service Hours Log”. They can search for that email address or subject line in order to pull up all of the confirmation emails for their records.
If the email address is correct then the student should contact the event sponsor/organizer and have them check their email for a subject line titled “Please verify community service hours submitted by <<Student Last Name>>, <<Student First Name>>”.
If the sponsor/organizer cannot find the email the student can provide them with this link to the RISD Community Service Hours Verification & Approval Google Form: https://forms.gle/SYARCz2LpKo15ywP8 . However, the student will need to provide them the information about the number of hours and date served since the sponsor doesn’t have access to the original email that contained that content.
The student should not submit the hours again.
8. If I am pursuing the Service Learning Award, how can I keep track of my progress?
As mentioned above the district is working with Focus and Naviance to develop a new service hours log. We will be sure to merge the X2VOL data into the new platform so you will have all of your data in one place. There is not a timeline for this as of right now.
In the meantime, if you need a total now, you can add what you logged into X2VOL with what you submitted via the new Google Form. (Refer to #5 above to find the copies of your responses for hours you submitted.) If you’d like to find out if the new submissions have been verified or approved, please refer to FAQ #6.
