EWCC is an in-home care agency committed to protecting the privacy and security of both caregivers and clients. Because our mobile app is used to clock in/out of shifts and document client progress notes for Activities of Daily Living (ADLs) and Instrumental Activities of Daily Living (IADLs), we handle information that may qualify as Protected Health Information (PHI) under the Health Insurance Portability and Accountability Act of 1996 (HIPAA).
This Privacy Policy explains how EWCC collects, uses, safeguards, and discloses PHI and other personal information in compliance with HIPAA and applicable state laws.
1. Information We Collect
Caregiver Information
Name, employee ID, and contact details
Clock-in/clock-out times and shift assignments
Device and usage data for security and performance
Client Information (PHI)
Progress notes related to ADLs and IADLs
Observations required for individualized care plans
Client identifiers assigned by EWCC
2. Use of Information
We use PHI and caregiver data only for:
Delivering and documenting care services
Supporting compliance with state and federal regulations
Managing caregiver schedules and payroll
Improving app functionality and security
3. HIPAA Safeguards
EWCC implements administrative, physical, and technical safeguards to protect PHI:
Encryption: All PHI is encrypted in transit and at rest.
Access Controls: Only authorized caregivers and administrators may access PHI.
Audit Logs: All access and modifications are logged for compliance monitoring.
Training: Staff are trained on HIPAA requirements and privacy practices.
4. Business Associate Agreements (BAAs)
EWCC enters into BAAs with any third-party service providers (e.g., hosting, analytics, IT support) that may have access to PHI. These agreements ensure that vendors comply with HIPAA standards for privacy and security.
5. Disclosure of Information
PHI and personal data may be disclosed only:
To authorize EWCC staff for care coordination and compliance
To regulatory agencies when legally required
To law enforcement when necessary to protect clients or comply with investigations
To contracted service providers under BAAs
We do not sell or share PHI for marketing purposes.
6. Data Retention
PHI and caregiver records are retained in accordance with HIPAA and state healthcare documentation requirements. Data is securely archived or destroyed once retention periods expire.
7. Individual Rights
Clients and caregivers have the following rights under HIPAA:
Access: Request copies of their PHI maintained in the app
Correction: Request amendments to inaccurate information
Restriction: Request limits on certain uses or disclosures
Accounting: Request a record of disclosures made by EWCC

8. Permissions – Location Access
We request caregivers’ permission to access their device location to ensure accuracy in documenting where tasks are performed. This helps prevent incorrect reporting of client visit locations and supports compliance with care standards. Location data is only collected when caregivers actively access their task list and perform assigned duties; it is not gathered at any other time.
9. Children’s Privacy
The EWCC mobile app is intended for caregiver use only. It is not designed for or marketed to children under 13.
10. Updates to This Policy
We may update this Privacy Policy to reflect changes in law, technology, or agency practices. Updates will be posted in the app and on our website.

EWCC Mobile App – Child Safety Standards Declaration/Policy:
1. Commitment to Child Safety
EWCC affirms full compliance with Google Play’s Child Safety Standards Policy. Our app does not contain, promote, or facilitate child sexual abuse material (CSAM), exploitation, or grooming behavior.
No CSAM or sexually explicit content involving minors.
No features that enable or encourage inappropriate contact with children.
No advertising or monetization practices targeting children with harmful or age‑inappropriate material.
User Reporting Mechanism: EWCC provides an in-app feedback and reporting tool where users can flag harmful or suspicious content.
Swift Action: Reports are reviewed promptly, and offending accounts or content will be removed. Where necessary, EWCC will cooperate with law enforcement.
Zero Tolerance: Violations of this policy may result in immediate suspension or permanent removal from the app.
EWCC designates a Child Safety Officer as the primary point of contact for child safety concerns.
