We have created a template in Raintree to better guide you through the requirements of a quarterly report. I am attaching a video of how to create the template and then an example of what a completed quarterly report looks like. If there are any questions at all please reach out.

A LITTLE NOTE
As I was rewatching the video it dawned on me that the plan tab may require you to put some numbers in the frequency and duration area. If it does, those dates can be anything. The system just requires us to put that information in (like when doing conversion notes).

Reminder for EI Providers
When billing for an exit meeting, if an addendum is not completed, please make sure to bill for a TL or JV visit as appropriate. It is only an addendum when an IFSP is completed. Please ask Cori, Billi or Amber for clarification if needed.

The TL is now responsible for entering in the conversion notes for the IFSP for all assigned disciplines on that kiddo.
We have decided this to be a more effective process since not all SC's are on raintree, etc the DDD SC's.
As a TL you have ND TL units that can be used to do this if doing it after the IFSP has taken place as well as time during the IFSP meetings to enter this.
There are videos in the google drive on how to enter conversion notes for those that may need a refresher. We also have a workflow for Raintree in there as well if that is easier for you than a video.

We are sending out communication about the weekly unit report in RT. For those of you who do not know what this is, it is a report that gets sent to your dashboard weekly in your task tab. This report shows you what you scheduled for the current week, patients name, appt type and the Units entered. We have now added a new column to this report called EMR status that will show you if you have Signed / Posted each specific charge. I have attached a sample of what the new report will look like in this email. Just to be clear I have deleted the names off of this specific sample report, when you receive your individual weekly reports it will have the patient first and last name in the corresponding columns.
This weekly unit report is currently scheduled to be run every Saturday morning at 6am and will capture the current week's units, starting from the previous Sunday to that Saturday morning at 6am. This report will then be automatically sent to your task tab on your dashboard for review. I need to clarify that anything entered after this scheduled 6am time on Saturday will not populate on that week's report. This report is a great tool for you to review and make sure you have signed and posted all your appts for the current week to ensure they make payroll for that pay period. If you do not see the word Posted in the EMR Status column this means it still needs to be posted to make payroll for that period.
We are able to change the time this report is run by each individual provider. If you are someone who does alot of your billing on Saturday mornings or even have Saturday appts then you can ask Amber or myself to change your report to be run at a later time on Saturday so it can capture as many of your appts as possible for that week.
I know a small handful of you have previously asked Amber to change the time your report is run and I ask that you please reach out to me individually with what those times were so I can make sure they are still set up the same.
For anyone who may have questions or just may need clarification on something, I am happy to help.
REMINDER for EI Providers
This is how to bill for your ACT weekly team meetings for our Early intervention providers and anyone who may need to bill for training. The new payroll report now requires units to be added for these two codes. So to the left of the charge ticket (Image 2 below) you will now see a box named additional services with the Team Meeting and Training code and a box to enter your units. We have hard coded these two codes to auto populate to a service ticket and a no visit charge not requiring a note. Both of these codes do require you to check them in and enter the units (1 unit = 15 minutes) in the box and POST CHARGES. These codes still need to be billed to the Non Patient as normal.
We have had a change made in RT that is effective today, 3/25 12:30pm.
You will no longer be able to post your charges until you Sign off on your note. We have had a problem with people not completing their documentation either timely or going back to complete them in entirety causing a lot of follow up administratively and in monitoring with sometimes blank notes altogether. What this means is that you will not be able to post your charges for payroll until your documentation is completed. The post charges button should now reflect Sign off and Post. This will ensure that you have completed everything in its entirety allowing for the service to be paid.
Additionally, you will start to see your demographics look different on your daily note. The note will include visits remaining so that you can better track your authorizations at a glance.

The AzEIP office would like to provide some additional clarification regarding how to document Non Direct Team Lead services on the IFSP.
Only direct services should be listed on the services page of the IFSP.
For situations where the Team Lead will be providing only non direct services to the family, the conversation regarding how the family is going to be supported must be documented within the IFSP. This can be documented in the strategies sections of the outcome pages or teams may use the justification section on the IFSP services page. (Explain how early intervention services will support the child’s participation in routines and activities to meet the IFSP outcomes)
The TL should always be identified on the IFSP Team Page and in ITEAMS.
