Microsoft Office 365
Microsoft Office 365
Microsoft Teams is a department endorsed platform where you can store and manage your school data and files, communicate with your staff and colleagues, collaborate with students, conduct meetings, and make calls all from one place. You can access your Teams from any device by using the web browser interface or by downloading the app.
MS Teams is built on top of a Microsoft SharePoint. Teams is essentially the interface we use for storing and accessing files within a SharePoint. In this website, we will refer to both these spaces, however our main focus will be on using the Teams interface.
To learn more about Microsoft Teams, visit the T4L Website or Microsoft Support Pages.
If you would like to use Microsoft Office 365 as your preferred platform to access your school files anywhere, anytime, similar to accessing Faculty drive on your ET4L server, select your context below to explore possible folder structures for your school within Microsoft Teams.
It is important to note that every school will differ in the setup of their file storage spaces. There is no one-size fits all model, and schools are strongly encouraged to customise their file structures to best suit the operational needs of the school and staff. Each of the following examples are guides and possible templates to assist you, and your school, in the initial decisions when setting up your new cloud storage platform. Suggested folders are not inclusive, nor limited to, every folder currently existing within your faculty drive on your ET4L server or required folders for future use.
Click on the context below that best describes your school to explore some suggested whole school folder structures.
Note that this content is a suggested structure based on the work and school experiences from the Digital Support Team members. It will be up to staff at your school to implement any of the suggestions and create the appropriate channels and folders of your choosing.
Simplified structure to suit smaller school (e.g. Teaching Principal, less than 100 Students)
Within MS Teams, various access permissions can be granted to members of a Team.
Members can be assigned as
Owner –
Team Owners, can add and remove members & guests, change team settings, and handle administrative tasks. There should always be at least 2 owners within a team.
Member –
Members are the people within the team. They communicate with other team members in conversations. They can view and usually upload and change files.
Guest -
Guests are people from outside of your organisation that a team owner invites, such as partners or consultants to join the team. Guests have fewer capabilities than team members or team owners. Note: Staff within the DoE are unable to be set as guests within a Team.
Once added to a team, members will have access to all public channels. Owners can add a second level of permissioning to a team by creating private channels where specific members of a team can be granted access. This is a good way to further partition sensitive data.
Visit the T4L website to learn how.
💡 IMPORTANT 💡
It is highly recommended to have at least 2-3 Team owners of each team to ensure continuity in access to content and permission modifications. Small schools and/or Teaching Principals may choose to add their Director of Educational Leadership (DEL) as an additional Team owner.
