Your "Manage Platform" page should look something like this.
Go to "Workshops" and "Manage your workshops" for setting up a virtual meeting/ convening/ workshop/ webinar, etc
There is a Sample Meeting Draft at the very bottom for you to see how a meeting could be set up, the BYOD workshop on 2/2/22 is a really good example of an actual meeting/ workshop took place. (Even though an event already took place, you can still revisit to see the setup.)
The list of past and future workshops will appear on the next page. (Note: must click on back button to get back to main platform page again)
"Manage" will take you to managing steps/ inputting information/ formatting each step
All participant features can be viewed from the panel at the bottom, including selecting your own background, etc.
All steps management can be done here, including setting up matrix for adding steps and rooms, and indicating which kind of participation method you choose for each step.
Admin has the right to "Go to step" through the "Manage" page
Workshop Status:
Draft- when not publicized, work in progress
Published- ready to share URL up to to participants
Completed- please select this once the workshop/ meeting is over
*Note: Without breakout rooms, you do not need to add another room.
Step Participation Method- Information
This is where the agenda (including images you'd like to include) will appear. If the whole meeting is just one-direction, then all you need is to provide the agenda, information, links, and images to the step.
*Note- for an image to appear here, you must attach URL to link, it is not uploadable. (I attach URLs from the rest of the platform where I've uploaded the images before. ie this banner image is from a project folder on the platform. You can right-click on the image to capture image URL)
Step Participation Method- Q&A
The Q&A method can be used for voting or for questions/ answers to visually appear (in list view or card view) on the right hand panel during that step. You can prep all questions ahead by submitting them to "add question".
ie: What is your favorite season? (and people can submit their answers and it can appear for people to vote on)
The information section can still be retained at the bottom for one to keep the agenda or other background info/ context you may want participants to see.
You can always begin a meeting with the chat function, where you ask everyone to type in their names, jobs, place of work, or any relevant info like this BYOD, we asked "how is everyone using data now?"
"zoom" button on the left hand side expands the screen for all participants, or if you click again, the right side panel (agenda information" will appear again for everyone
Current "Step" will be in GREEN
To go on to the next step, you can choose to click on "Now" or schedule ahead of time (10 sec, 1 min, or 5 min)
*Note- I would recommend the Agenda to list the time for each step so everyone can see
I've attached an image and resources links as the Step 2 here, where we reviewed content from the last webinar/ meeting.
This is all done under "Manage" and choosing the participation method for Step 2 as "information"
In Step 3, where we were going over a case study, a link was provided in the Agenda of external content that was meant to be shared with everyone. In hindsight, this could have also been screenshared by the Admin or Speaker during the presentation.
*Note: Screenshare button is on the bottom features panel
In Step 4, we screenshared (sorry not shown here on the screen) the speaker's pre-made video. The links are also provided on the right hand panel so that participants can click and open at the convenience.
This is how the Q&A participation method can appear during the workshop, in card view.
This is the last "slide" of the presentation where I'm purely showing links that I think would be helpful for all meetings on the Co-lab to end on. Feel free to Copy and Paste from this workshop.
Please don't forget to "End workshop for all" when the meeting is finished, AND change the status of the meeting to "Completed" from the "Manage" section of the workshop.
