dbt Meetups are a way for people to connect over their experiences with dbt, as well as discuss topics related to the data industry, team dynamics, best practices, and much more. dbt Meetups are networking events open to all practitioners working with data!
Meetups are consistent events taking place ~10x a year (6 minimum) in the same city or own. Organizers commit to running them for at least a year.
We are looking for champions (individually or in a group) to run meetups autonomously, with some enablement from dbt Labs. As the organizer, you will find the speakers and venues and promote the events.
To be considered a "dbt Meetup™," landing pages should always be hosted on the dbt Meetup network, where registration is collected.
Contact Amada Echeverría (Community Team) on Slack to discuss setting up a meetup. If it's a good fit, the Community Team will create your group and provide access to your page.
Meetups follow the dbt Community Code of Conduct and vendor guidelines.
Creating your City's group on the dbt Meetup network
Resources and updates will be posted in dbt Slack in the #meetup-organizers channel
A #local-[your city] channel will be created in dbt Slack (if it doesn't already exist). You just need to commit to maintaining it. Post your request in #moderation-and-administration or DM Amada and I will create it.

While you are responsible for finding speakers, dbt Labs can, from time time, support suggesting a speaker or with speaking at your event. We cannot guarantee this support.

Talks, panels, peer discussions, fireside chats and Q&As are all encouraged
We suggest 1-2 talks or sessions maximum, and networking. More than 2 talks can lead to fatigue
Talks that are 15-20 minutes, not much longer, do best, followed by a short Q&A
If you have 2 talks, we suggest one for beginners, and one more advanced talk

Talks promoting competitive tools to dbt are not permitted
Talks should be about how someone solved a problem, with dbt being a central part of the story
Talks focus on community members' experience with dbt, however, presentations can cover broader topics such as analytics engineering, data stacks, data ops, modeling, testing, and team structures
A mix of stories involving dbt Core and dbt Cloud is encouraged
No vendor talks:
A talk by a sales person, vendor talk, product demo, or sales pitch is not aligned with our guidelines
A talk by a data practitioner working at a vendor, but speaking about a customer, and telling a story from a practitioner POV, is okay.
Founders/CEOs, or evangelists talking about their tool can also be seen as commercial or a sales pitch and is not recommended
Publish the landing page at least ~3 weeks before the event
Please follow this format (copy from link directly, as we update it regularly)
For each talk, include speaker name, title, company, and the topic of the talk
Include this legal language in body: "To attend, please read the Health and Safety Policy and Terms of Participation: https://www.getdbt.com/legal/health-and-safety-policy"
In the "Ask Members a Question" field, paste this: I agree to read and abide by the Health and Safety Policy and Terms of Participation in the Meetup Details/Description. Please type “Yes” to confirm.
If your venue has capacity limits, estimate that 50-60% of registrations to free events will not show up. For example, if your venue fits 50 people, consider setting the "Attendee limit" field to 82-100
In the Registration form Section, click "First and last name," "Current Role," and "Organization name." Phone number is not necessary, and Main reason for attending is optional

The check-in feature helps you and dbt Labs know who actually attended an event or didn't, which can help you adapt your communications to certain meetup members.
Download Meetup for Organizers (Google Play, or App Store)
The event will appear in the app for you if you are an admin
Click into the next [Your City] dbt Meetup event page and see attendees.
To check in a guest, all you have to do is swipe their attendee card right to check them in, or swipe left to mark them as absent (see full instructions)
Note only 1 person can do it at a time, as the app doesn't sync so well in real-time. If you want to switch shifts between different people doing check-in person, both users, on their own devices, should drag their fingers finger down on the names. This will “refresh” the check-in list, and then one person can handle check-in from there

Post the meetup in dbt Slack in the #local-[your city] channel (see optional template)
Ask speakers to share the meetup to their network
Post it on LinkedIn and anywhere else where you regularly connect with the data community
After publishing the page, click the red "Announce" button at the top . This triggers an email to all members of the group, so click it at a day and time where people are likely to see the message

Competitors should not host meetups. If you are not sure if someone is a competitor or not, as Amada (Community Team) or your contact at dbt Labs.
As a venue, we encourage you to use someone's office: your office, the office of one of the speakers, or the office of any attendee who volunteers to host.
Host happy hours at brewery and bars. For talks with presentations, bars may not be ideal, due to the acoustics.

To request swag, Slack DM Amada Echeverria (dbt Labs) a request 3 weeks before your event. Please note we will send stickers and a few other items, but rarely have enough in stock to send one hat or t-shirt per person. If you don't send this information completely, we cannot guarantee swag.

Our payment terms are 30 days upon receiving the invoice, so we cannot commit to reimbursing you immediately.
What can you submit: Food, drinks, Cups, plates, napkins, venue, if you truly cannot find a free customer or partner or other venue
Do not submit purchases for: A/V equipment, speaker travel costs (transportation, hotel)
If you have determined that you will be allocated budget, please following these steps for reimbursement:
Before the first event, you need to determine who at your company will be creating the Airbase account, adding your banking details, and uploading invoices. Send the Contact Name and email to Amada Echeverría (dbt Labs).
After the event, create an invoice following this template
Include receipts (pictures or screenshots are okay) for each purchase in 2nd page of the template
Add your PO number, which will be renewed every fiscal year (around February of each year)
Click File → download→ PDF Document → Upload to Airbase
Finally, upload the invoice and receipts to Airbase.
Send out a message to the group on Meetup (see template) (you can include members who did not attend, so they can still receive updates)
Post a message in your #local-[your city] channel after the meetup (see template). Include a thank you message to speakers and attendees, attach photos, and post any relevant links (like the speaker's slide deck, or links to the Coalesce tickers or Call for Papers. This will serve to thank attendees but also encourage potential attendees to join next time.
After the event, upload photos in Slack in the #local-[your city] channel, and on Meetup.com in the Photos section. This will give potential attendees an idea of what meetups are like
Send the dbt Labs Community Team 1) photos and 2) a few sentences of your experience and feedback!
Add the topics (and even talk summary) to the meetup landing page, not just the speaker's and title
We encourage not putting up company pop up banners, or anything that can create an overly commercial vibe. You are creating opportunities for people to learn and connect, and not a space to sell something.
Bring name tags and markers for attendees
Play games like Bingo (see template, courtesy of Bolaji, our Digital Community Engagement Manager)
Take photos at the event (if everyone is comfortable), not just of speakers, but of attendees.
Send registrants a message a few days before asking them to update their RSVP if they can't come. This can help you order the right amount of food, and ensure anyone on the Waitlist can take the spot of a registered person who is not planning on attending anymore
Find speakers during the networking hour of your meetup. Attendees who use dbt are likely to be your best speakers! While they may not realize what they work on day-to-day is super interesting and helpful to other, it is likely to help others in their roles !

I have been managing the meetup program since the spring of 2022, and I love my role.
Originally from Mexico City, I am based in New York.
I love learning about different cultures, including yours, and I love bringing people together.
Fun fact about me: as part of community building, I have a lot of fun studying languages. I speak English, Spanish, French and Hebrew fluently and understand everything in Portuguese. My dream is to learn Chinese and Arabic.
